Summary

I am responsible for maintaining office operations and office equipment, including leases and approval of monthly charges. It is my job to ensure organization, effectiveness, efficiency, and safety for the firm. I work closely with the shareholders to ensure seamless internal and external client needs are met. I oversee the firm's IT equipment and work alongside our outsourced IT company to ensure all our employees' computers are functioning and updated. I maintain all our firm's software and equipment licenses and renewals as required.

Office Operations:

  • Work with the managers on their client billing lists
  • Work directly with clients in collecting outstanding A/R
  • Responsible for E-filing clients tax returns
  • Direct contact for all the firms Vendor's including invoice review and approvals
  • Maintains a close working relationship with the Managing Partner, Shareholder group and Office Manager
  • Ensure efficiency of the office environment
  • Works with building management on office space issues, appliance issues/repairs, office environment/comfort, overtime HVAC requests, touch-up paint, additional space work, etc.
  • Work with department heads to update and change processes as needs dictate

IT Tasks:

  • Work directly with the IT team to profile new computers, setup software programs, QC computers prior to deployment, monitor and assist with the support tickets through Connectwise.
  • Facilitate the On-Boarding and Off-Boarding Processes with the HR and IT Dept
  • Ship remote employees IT equipment prior to first day
  • Onboarding day ensure employee can log into all software programs
  • Train on software programs
  • Maintain ClearCompany updates for job postings and new hires o Manage Cooleaf employee engagement platform
  • Assist with training schedules for new hires
  • Manage the Suralink/ClickUp task management software for New Hires, Exits and Promotion's

Phone & Security:

  • Add and Remove users from our KnowBe4 security platform, in addition to overseeing that users are passing the security trainings that I set in place. Work with the rep to review reports to ensure our firm network is secure by our users passing the trainings that are pushed out quarterly and to ensure the bi-weekly phishing emails are scheduled.
  • Assist with wireless device carrier to upgrade, setup, add, and deploy new wireless devices for supervisors and above
  • Use of security software to activate and inactivate individual security cards for office suite access
  • Use of 8x8 phone software for adding new hires and employee departures. Assist with phone extensions, direct dial and direct fax numbers for each new hire.
  • Keep Security 101 Software updated
