Job Summary:
We are looking to add a strong Coordinator to the Event Marketing team. The role will provide administrative and logistical support to develop, organize and serve the team in the planning and execution of ESPN VIP Hospitality Programs, client events and internal company meetings. The coordinator will focus on specific brands, such as the ESPY Awards and the College Football Playoff.
The ideal candidate is a motivated, positive and a self-starter with outstanding organizational skills who works well in a team environment.
Responsibilities:
• Assist in ordering merchandise and branded gifts
• Coordinate all printed material and branded collateral for onsite execution
• Organize hotel rooming lists and event guest lists
• Track flights and/or arrival departures for guests/staff/talent
• Communicate with a variety of internal departments on a daily basis such as ticket operations, travel, and talent to ensure smooth information dissemination
• Work with department liaisons to ensure all guest information is accurate
• Research event related topics and ideas prior to conception
• Process Invoices and track money spent
• Manage shipping and receiving of event collateral
• Produce executive briefing book that is distributed prior to each program
• Manage the development of the event registration website and app
• Liaise with sponsorship management to ensure sponsor obligations at events are fulfilled.
Basic Qualifications:
• Proficient in Microsoft Word & Excel
• Fundamental administrative and office knowledge
• Ability to use SAP or an eagerness to learn
• Ability to work both independently and within a team setting
• Willing to travel
Preferred Qualifications:
• Able to multi-task and handle multiple projects simultaneously.
• 1-2 years of related experience
• Flexible and adjusts to changing environments
• Can keep up with fast paced onsite execution
• Superior business communication
• Professional and diplomatic in dealing with both internal and external skateholders
• Highly organized and detail oriented
• Strong professional and personal ethics as well as exhibit a professional demeanor
• Strong writing and communication skills
• Understanding of ESPN brands
• Ability to keep items confidential
Required Education
• Bachelor’s Degree
