Description
The Newsy Office Manager/Receptionist serves a variety of roles while assisting all employees of the Chicago Office location. Provide administrative support by supplying information regarding the organization to the general public, clients and customers, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
What you'll do:
• Operate telephone to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments
• Greet persons entering establishment, determine nature and purpose of visit, determine whether they should be given access to specific individuals and direct or escort them to specific destinations
• Ensures knowledge of staff movements in and out of organization
• General administrative and clerical support
• Prepare responses to correspondence containing routine external and internal inquiries.
• Schedule appointments
• Tidy and maintain the reception area
• Open, sort and distribute incoming correspondence, including faxes and email.
• Conduct research and prepare research findings for special projects as assigned
• Read and analyze incoming memos, department requests, and reports and prioritize their distribution or provide support, as needed
• Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
• Maintain inventory flow and storage of office supplies
• Disburse new employee packets and make sure paperwork is properly completed and forwarded to HR
• Prepare agendas and make arrangements for meetings
• Set up meeting rooms and refreshments for clients and guests meetings
• Order food and supplies for employee luncheons; ensuring set up and clean up
• Assist or make travel arrangements for employees, as needed
• Provide location with general company information and news
• Participate in building safety and evacuation team at supervisor's direction
• Perform other duties as needed and as directed by supervisor/management
• Other duties as requested

• Detail oriented
• Knowledge of administrative and clerical procedures
• Personal computer skills, including Google Suite Products
• Able to recognize the need for, and subsequently maintain, confidentiality
Education & Experience/Certifications
• High school diploma required
• 2 -- 3 years of office experience
Work Environment:
• Standard office environment
• Must be physically able to sit at a workstation and maintain productivity for upwards of eight (8) hours
• Ability to occasionally lift up to 50 lbs
• Travel rarely required
• Overnight, shift, weekend, holiday and overtime work may be required
