Job Description
The Office Coordinator is the first point of contact for many of KGW Media Group’s visitors and guests. The ideal candidate for this position is energetic, people-oriented, and ready to represent KGW with a positive and professional attitude.
Responsibilities and Duties:
• Manages incoming phone calls, directing callers to the correct extension or voicemail using a multi-line switchboard.
• Monitors visitors to the building ensuring all guests are invited/expected and staff are promptly alerted that their guests have arrived.
• Manages lobby traffic ensuring safety and exceptional guest experience.
• Maintains a secure building via management of visitors allowing into the building and promptly alerts management with concerns.
• Knowledgeably responds to a wide variety of requests for information regarding the station, programming, community events, department contacts, etc. using all available resources including the internet.
• Logs comments from viewers for the public file.
• Maintains up-to-date information in Front Desk back-up file.
• Monitors check-point security systems.
• Provides limited administrative support to other departments, as required.
• Performs other duties as assigned.
Job Requirements
• Minimum of 1 year receptionist/administrative assistant experience.
• Experience working in a high-security environment desired.
• Exceptional interpersonal skills; ability to handle multiple tasks in a high-pressured situation; strong verbal and written communication skills; ability to remain calm in a stressful situation; ability to handle phone conversations with stressed or difficult callers; ability to be firm but gracious.
• Experience using MS Word and Excel
• Multi-line switchboard system a plus
• Must be a High School graduate
