We are looking for a Creative Executive Manager to act as the primary support for our chief creative officer here in sunny Los Angeles.
Your strong intuition serves you well as the right hand to our CCO, navigating an unpredictable landscape where two days are never the same. You meet every request with a can-do, positive attitude, kindness, and compassion.
You are extremely available and connected via email and text, ready to send informed responses quickly. You read your audience and understand the best way to communicate.
You know no task is beneath you when it contributes to the success of your executive. You constantly collect details of the work flowing through the agency and know the key players responsible. You have a need to know and understand the details of each project to be better prepared.
You manage the executive's involvement across our global network of agencies, taking the lead on coordinating the U.S. involvement in quarterly global creative councils and serving as the primary point of contact for entering the L.A. office's awards show entries.
You manage and juggle calendar appointments in the style of Grand Central Station and act as a navigational device for your executive to get through the day.
You effortlessly handle day-to-day administrative duties, expense reports, corporate card reconciliation, and complicated, ever-changing travel arrangements.
Responsibilities include:
• Heavy personal duties/projects as assigned.
• Daily lunch/snack procurement.
• Complex expense reports.
• Complicated domestic and international travel.
• Time sheet entry according to the various projects being worked on.
• Weekly lunch/break time reception coverage.
• Status report creation and maintenance of key projects in each office.
• Maintaining regular meetings with office creative leads, creating agendas for each meeting, and taking ownership of next steps/action items.
• Occasional presentation support (Keynote).
• Setting up and facilitating phone and video conferences, collecting all needed materials in advance.
• Building strong relationships with key U.S. office leads in addition to your own team within the L.A. office.
• Proficient in MS Office 365 (Mail, Word, Excel), Keynote.
Requirements

• Four-year degree.
• Five years in an ad agency environment, with experience supporting C-suite executives.
• An outgoing, engaging personality.
• Prior professional experience in an agency setting is required. This is not an entry-level role.
You must be eligible to work in the United States to be considered for this role.
