Job Summary:
Responsible for acting as a personal and confidential assistant to senior management and staff. Contacts Company personnel at all levels of the organization to gather information to prepare reports. Maintains knowledge of corporate activities to assist in policy, procedure, and administrative matters. Performs responsibilities in such a way as to project the appropriate professional image of the Company. Has developed specialized knowledge/skills in own area. May act as a resource for colleagues with less experience.
Core Responsibilities:
-Support Director of Sales (Local) and Manager of Administrative Services
-Screens telephone calls, visitors, and letters; answers routine questions and furnishes information
-Greet and assist business associates, visitors, and headquarters staff in a courteous and helpful manner
-Accept, sort and distribute all mail and packages as well as prepare all outgoing mail and packages
-Maintain office space to insure all areas as kept in a neat, orderly, clean, safe and efficient operating condition
-Monitor and maintain all office equipment making sure all equipment (printers, copiers, vending, coffee equipment, etc.) is in good working order
-Perform general clerical duties to include, but not limited to, copying, faxing, mailing, laminating and filing
-Order and maintain all supplies/stock in relation to the facilities management services
--Responsible for the coordination and scheduling of internal meetings and presentations; gathers and prepares necessary materials and/or equipment.
-Assures the planning and coordination of the executive's calendar of events; schedules appointments and prepares detailed itineraries, complete with travel accommodations, etc.
-Accurately and efficiently types and distributes letters, memoranda, purchase orders, or other material.
-Assists with creating and updating Power Point presentations and Excel spreadsheets for client meetings.
-Assists with event management for team and client events.
-Sets up phone, video or WebEx conferences.
-Assures the maintenance of travel and expense account and records, including form preparation and figure reconciliation.
-Displays a strong knowledge of desktop tools such as the Microsoft Suite of Office products and electronic mail systems.
-Manages challenging and competing priorities and ensures time is allocated effectively to improve day-to-day efficiency.
-Interacts with management at all levels while exercising good judgment and discretion through clear and responsive communication.
-Has sharp attention to detail with the ability to anticipate problems to prevent delays and ensure success (i.e. scheduling conflicts, meeting attendees out of the office, etc.)
-Practices good judgment, discretion, and confidentiality of sensitive information regarding department activities.
-Attend team meetings and produce subsequent minutes / actions
-Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.
-Other duties and responsibilities as assigned.
Qualifications:
-Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
-Excellent verbal and written communication skills including a pleasant telephone manner
-Excellent customer service skills for both external and internal clients with a 'can do' approach to resolution
-Excellent organizational and prioritization skills with the ability to manage competing demands and prioritize effectively
-Excellent attention to detail and establishing priorities and meeting deadlines
-Excellent problem solving and people skills
-5 plus years of work experience in a corporate space preferred

Job Specification:
• High School or Equivalent
-Generally requires 2-5 years related experience
