Job Description
The Office Coordinator/Administrative Assistant will supervise and coordinate all office logistics and activities to achieve expense control and productivity. This person will follow procedures and policies for basic office functions such as filing, mailing, and ordering/maintaining office equipment and supplies. They will also be responsible for office and facility maintenance and upkeep, assisting in coordinating and completing office projects, and fulfilling all administrative requests such as scheduling meetings, travel accommodations, and expenses. This position is also a big part of employee morale and encourages a unique and fun work culture by planning and arranging office functions.
Responsibilities:
Human Relations:
Must be able to work collaboratively and effectively with all levels of staff. It is extremely important that the candidate be courteous and helpful to employees, visitors, partners, and clients both in the office and on the telephone.
Essential Job Functions:
• Assist with planning and execution of company events including monthly Town Hall meetings, in-house activities, holiday celebrations, happy hours, etc.
• Provide high-level administrative support to members of the US executive team based in New York
• Manage travel arrangements including flights, hotels, and ground transportation
• Expense reporting – T&E preparation and submission
• Schedule, coordinate, and confirm meetings to include:
• Reserving conference rooms
• Setting up equipment
• Place catering orders
• Initiate conference calls when necessary
• Assist with new hire onboarding and departures including seat assignments, badges and equipment
• Manage kitchen and office supply inventory
• Provide general office support for large projects including office restacks, ReSources initiatives, etc.
• Work closely with Chicago Operations Team to build and maintain a unique office culture aligned with Performics’ values
Qualifications
• BA or equivalent
• 2+ years of related experience
• Innate willingness to be accommodating and helpful
• Strong written communication skills including an excellent command of English grammar and business writing
• Strong competency level in MS Outlook, Word, Excel and Power Point
• Strong attention to detail
• Ability to be flexible and to handle multiple projects simultaneously
