Description
The primary responsibility of the Manager, Jazz Arts is to fully operationalize the vision for the Jazz Arts Program in coordination with the Associate Dean and Director and the Assistant Director of the Jazz Arts Department, ensuring all Jazz Arts events run smoothly. The Manager works directly with the Dean of Performance Operations to maintain the yearly Jazz Arts performance calendar, providing point of contact for the production teams and all performers in Jazz Arts. The Manager is present at all rehearsals, performances, and sound checks, monitoring student attendance and working closely with Production to assist with issues as they arise.
Domains:
Ensemble Auditions and Placement
• Organize and oversee the facilitation of auditions for all jazz arts ensembles, providing administrative support for faculty to place students according to their auditions in both combos and large ensembles.
• Organize faculty availability.
• Schedule rooms and venues.
• Arrange and communicate the audition schedule with each student.
• Liaise with Production in areas concerning stage/venue requirements, adjudicators needs and payments, and scheduling student monitors when needed.
• Organize and file audition comments as necessary.
Management of Day-to-Day Jazz Arts Performance Operations
• Provide detailed oversight of all combos and large ensembles in coordination with the Jazz Arts Department for all Jazz Arts-related on-site and off-site performances.
• Manage and oversee all rehearsal schedules for combos and large ensembles, including scheduling the Jazz Arts Combo Festival.
• Communicate rehearsal schedules to students via weekly “Friday Notes” and daily reminders as necessary
• Build and maintain ensemble rosters for each concert.
• Recruit ringers/replacements as needed.
• Coordinate soloists/conductor needs, logistics, and schedules.
• Communicate all program information, producing program copy for the Design Department.
• Oversee and ensure all Jazz Arts backline equipment is properly located for on-site and off-site rehearsals, concerts, and productions.
• Coordinate logistics for section mentors/teaching artists who provide lessons and ensembles coaching with NJPAC Jazz Education Programs and other community-based partnerships.
• Attend all Production Meetings.
• Oversee guest artist and faculty artist contracts, payments, and fees.
• Supervise student workers as needed, including training, scheduling, and timesheet processing.
Management of the OPAS Software System for Performance Operations
• Ensure the OPAS system is current with all student contact data and student attendance information.
• Use data to oversee ensemble grades at the end of each semester.
• Maintain the schedule of all large ensemble activities/concerts/rehearsals within the OPAS calendar, matching to the larger institution-wide calendar.
Equipment Management
• Oversee an inventory of Jazz Arts backline equipment for use with all jazz combos, large ensembles, and off-site performances.
• Supervise student equipment managers.
• Manage all aspects of backline support, maintenance, and purchasing.
Job Requirements:
• Excellent interpersonal and communication skills, with the ability to communicate clearly, both internally and externally, the philosophy of the Jazz Arts Program and MSM as a whole.
• Exceptional writing skills for creating necessary departmental correspondence, policy, and statements.
• Demonstrated leadership, with the ability to create a dynamic departmental environment suitable to a diverse student body, faculty, and staff.
• Jazz and performing arts concert production and event coordination experience.
• Ability to meet multiple deadlines and to coordinate overlapping schedules and activities.
• Experience with community engagement and relationship management.
• Ability to work with different departments and in a collaborative spirit.
• Availability to work within a flexible schedule, including evenings and weekends.
• Excellent organizational, communication, and interpersonal skills.
• Proficiency with Microsoft Office and other computer-based programs.
