OVERVIEW OF ROLE
The Festival Coordinator will participate in a wide range of activities to support the successful development, launch, execution and year-round maintenance of AMCN’s various festivals including DOC NYC, Split Screens Festival, What The Fest!? and others.
This role reports to the Festivals Executive Director and maintains close and highly responsive relationships with the Festivals Development Director and other IFC Center team members.
The ideal candidate has extensive film festival experience and a desire to take on new challenges. We’re looking for someone with a collaborative spirit, results-oriented mindset, positive outlook and proactive personality. The ability to prioritize various work-streams while maintaining a high-attention to detail is a must.
KEY DUTIES AND RESPONSIBILITIES
• Work closely with Festivals Executive Director to research, develop and execute the various festivals
• Provide additional research support on the franchising potential of DOC NYC and other festivals
• Maintain festival websites throughout the year and support social media profiles (as needed) during off-season
• Monitor all general festival emails and respond / forward accordingly
• Assist Festivals Development Director research sponsorship leads; keep contact list current; collect signed sponsor contracts; circulate internally to general executed version; create sponsor invoices; answer sponsor billing questions and track down all outstanding payments
• Liaise with vendors to complete festival-related contracts and invoicing
• Track festival related expenses and follow AMCN accounting protocol for reimbursements
• Help with festival assisting with whatever is needed in lead-up and during the festival: operations, logistics, graphics, filmmaker relations, RSVP management, budgeting, etc.
• Provide general office assistance and support to Festivals Executive Director —answer phones, assist with scheduling, complete expense reports.
QUALIFICATIONS (Required & Preferred)
• College degree
• Minimum of 2 years experience in film festivals or event planning - spanning areas of operations, budgeting, marketing, communications
• Flexible, personable, reliable, self-starter
• Excellent knowledge with proven experience of Microsoft applications: Power Point, Word and Excel. Proficient in creating basic graphics in Adobe Creative Cloud or Photoshop
• Strong oral and written communication skills with ability to interact with all levels of management
• Ability to work well with others and collaborate across the organization to achieve goals
• Detailed oriented with strong organizational skills
• Demonstrated ability to work in a fast-paced environment
• Ability to maintain highest degree of confidentiality and diplomacy
• Demonstrated ability to prioritize, self-start, contribute under pressure and meet tight deadlines
• Highly organized, creative and critical thinker
• Ability to effectively handle several demands while managing internal short and long-term schedules
