Description
Leading art advisory firm with international clientele seeks Office Administrator to oversee office operations and support CEO in mission to expand. The Administrator serves as a primary point of contact on all matters pertaining to the firm. This position is an ideal opportunity for a self-starter interested in developing skills and experience in both business and the art market, and is a position with growth potential for someone who wants to be involved in a small firm and make a significant impact. We seek an energetic, confident organizer who is resourceful, able to work independently, and can handle a multitude of tasks both large and small.
Responsibilities
• Provide attentive, intelligent, intuitive, and proactive support to the CEO, meeting deadlines and operating with a keen sense of balancing shifting priorities in a fast-paced setting
• Maintain the highest level of confidentiality, diplomacy, discretion, and good judgment
• Work collaboratively with the CEO on the daily office agenda and calendar, keeping CEO on time and prepared for all meetings
• Schedule meetings and travel for CEO
• Answer and direct all incoming calls in a friendly, professional, and efficient way
• Process all invoices and expenses with bookkeeper and accounting office
• Assist with special initiatives and projects, from research to implementation
• Manage project timelines, tasks and deliverables
• Office management: filling, ordering supplies, invoice management, maintaining digital and physical files, ensuring the office is kept organized and clean, maintaining an attractive appearance.

Required Skills and Experience
The ideal candidate will have the following qualifications:
• Bachelor’s degree required
• Tech-proficient and interested in utilizing technology to innovate and improve efficiency of systems and processes
• Experience with databases and Apple programs
• Attention to the highest levels of discretion, honesty, and professionalism
• Resourceful, exercising good judgment in a variety of situations
• Thrive in a fast-paced, entrepreneurial environment that is mission-driven and results-driven
• Impeccable attention to detail and a strong personal work ethic
• Excellent written and verbal communication skills, professional email and phone etiquette
• Cheerful, professional demeanor is essential
• Interest in and willingness to learn about the art world and art market
Reports to: CEO
Schedule: Monday through Friday, 9 am to 5:30 pm, with evening hours as necessary
