Overview
Participate in the daily functions of the Zonderkidz Publishing Operations team, supporting both editorial and marketing staff while ensuring products are on-time and executed with excellence.
Essential Responsibilities:
• Routing Management: responsible for comprehensive proofreading of all routings to ensure editorial and metadata excellence; packaging, bulk run, F&Gs, ozalids, wet proofs, Epsons, sales samples, and cover. This must be managed with a constant awareness of files-to-vendor (FTV) dates to ensure that final deadlines are met.
• Ensure often-updated process and standards documents are complete, current, and archived properly for timely reference and seamless implementation (ie. title setup process, freelancer process, copyright page standards, brand standards, etc.)
• Responsible for being team expert on proper title setup in MDM, and executing the same, for Zonderkidz titles including books, audio, mixed media sets, ebooks, etc.
• Facilitate weekly Creative-Editorial (CE) team meeting as well as recording, preparing, and distributing the minutes
• Update metadata in MDM one week after Creative-Editorial meetings, when an MDM Update Request email is received, or as requested by ME (ie. firm page count emails, clean-up projects, etc.)
• Scan and send Contract Request Form (CRF) submissions to Contracts department. Enter contract data into MDM records once fully-executed contract is received.
• Freelancer Management: on behalf of Acquisition Editors and Production Editors, manage the assignment (with deadlines), flow, evaluation, and payment of invoices for editorial work assigned to Independent Contractors (ICs) (macro editors, content editors, copy editors, proofreaders, indexers, theological reviewers) and monitor and negotiate freelancer rates.
• Manage reprint correction and work request processes including final approvals of corrections for reprints, ozalids, etc.
• Support and manage project plans and revisions as appropriate to meet changing needs and requirements
• Provide backup to and assist the Managing Editor (ME) in managing resources and providing accountability
• Ensure project documents are complete, current, and archived properly (ie. CIP, minutes, copyright registration, etc.)
• Assist Managing Editor in overseeing and managing new titles; from Sales Publishing Board (SPB) acceptance through editorial process management to printer-ready files
• Assist with preparation for Sales Conference by proofing PowerPoint presentation and expediting approval process of catalog covers as possible
• Participate in Comprehensive Data Check (CDC) prior to Sales Conference
• Review and make necessary updates from weekly Global Works report
• Perform editorial operations support tasks (prepress checks, small proofreading jobs, etc.) and assist Production Editors working on Zonderkidz Publishing Group titles with editorial tasks as requested (copyright pages including updated templates and proofing updates for all information on the copyright page).
• Assemble the Copyright data and manage the CIP application/correction and implementation process.
• Maintain library for Publishing Operations and distribute books to editors and the library of congress
• At the direction of the ME, field, research, and forward as necessary queries received from Customer Service regarding Zonderkidz products.
• Process requests for digital copies of manuscripts and 4-color projects, per guidelines, as well as manage and track Digital Review Copies (DRC) as specified
• Link authors to MDM and alert Author Care if resource needs to be added to system
• Various other administrative tasks for Publishing Operations
Qualifications
Knowledge/Work Experience:At least two years of experience in a corporate office environment, preferred; experience in publishing/editorial work preferred; experience with Microsoft Project preferred; experience with project management preferred; clear understanding of Christian publishing industry, editorial practices, and publishing operations preferred
Education:B.A. in English, Business Administration, Journalism, Religion or Child Development, or a related area
Industry Knowledge:Understanding of The Chicago Manual of Style and The Christian Writer’s Manual of Style
