Duties and Responsibilities:
· Assist in the preparation of written materials including communications, letters, and emails
· Maintain calendar; schedule & confirm meeting dates, arrange for reservations, appointments, and travel as needed
· Open & process incoming mail, sorting for priorities & distribute and/or handle items not requiring executive’s review
· Screen phone calls & handling routine items as instructed
· Provide administrative and clerical support as requested
· Coordinate travel, luncheons, dinners and other on- and off-site events
· Manage and maintain record keeping file systems as well as sorting and classifying correspondence and email
· Perform additional assignments as directed
Skills and Experience:
· Excellent listening, oral and written communication skills essential
· Excellent organizational skills, focus, accuracy, and attention to detail
· Ability to prioritize and manage multiple tasks with minimum supervision
· Discretion in handling confidential material,
· Ability to communicate effectively and in a professional manner
· Strong time management skills; ability to prioritize multiple tasks efficiently
· Resourcefulness and self-motivation
· Poised and professional demeanor
· Minimum 5 years secretarial and administrative experience; high degree of computer proficiency. Artbase experience preferred
