Description
Position Summary:
The Manager is responsible for the performance and supervision of the Central Receiving registrar and administration staff as well as the crew of Property Handlers, ensuring that assigned tasks are completed in a timely and efficient manner, and property movement is safe and handled with care. They manage the scheduling and function of the inbound and outbound docks to ensure the efficient and precise flow of property in and out of Sotheby's docks. This person must work efficiently and effectively with both third parties and various internal departments at Sotheby's.
Responsibilities:
• Responsible for Property Handlers’ compliance to all operational policies related to the sales process including inbound and outbound docks, exhibition set up, special events, departmental sales preparation, photography, and inventory management
• Work with Crew Manager to plan and schedule overtime hours for Property Handlers
• Maintain the integrity of the Operational procedures and comply with Risk Management and Security Department requirements
• Execute schedule of inbound deliveries or outbound collections
• Effectively manage unscheduled requests for deliveries
• Confirm all necessary paperwork is complete: verify and ensure accuracy of paperwork, and communicate with appropriate colleagues for any discrepancies
• Properly complete receiving documentation and maintain such documents for audit purposes
• Examine all property upon arrival and record and/or verify associated information, such as piece count
• Receive inventory and insure that all associated data is correct and accurate
• Conduct physical inventories, reconcile post sale property in PPU, and work with the Inventory Manager to perform regular stock checks
• Ensure daily list of property that needs to be transferred to the dock for dispatch is pulled in a timely fashion and all property verified for the next pick up
• Coordinate safe and efficient property movement throughout the building
• Schedule and coordinate third party collections with Inventory Manager
• Maintain the integrity, organization, and safety of the property receiving area and the inbound and outbound docks
Qualifications:
• Bachelor’s degree
• 3-5 years Registrar/collections management experience required
• Supervision experience a must
• General overall knowledge of the fine and decorative arts
• Excellent attention to detail
• A team player who works with other colleagues to complete tasks and activities
• Strong communication skills and superior organizational skills
• Excellent time management skills in a fast paced environment and the ability to prioritize multiple tasks with speed and efficiency
• Flexibility to work overtime and weekend hours when necessary
