The Operations Coordinator assists the Director of Monster Jam Operations and management staff with administrative tasks, special projects, and presentations for the department. In order to be successful in this position, the candidate must possess organizational and multi-tasking skills, and must be able to work both independently and within a team environment.
Essential Job Functions
• Administrative tasks for crew and management to include: answering phone, scanning/faxing documents, distributing mail, submitting supply orders, recording meeting notes, placing employee ticket requests, maintaining spreadsheets, HR and Payroll liaison, and supporting management with creating documents and guidelines.
• Expense report support to include: expense reporting, coding, tracking crew and show supply expenses, notifying technicians of missing purchase card charges and reports, tracking and executing employee restitution and reimbursement.
• Timekeeping support to include: restoring Kronos access for employees, assisting with vacation and paid time off requests, making corrections, training technicians on how to use the system, and generating and maintaining timekeeping reports.
• Managing and tracking crew shirt inventory, placing order requests, and coordinating shirt exchange.
• Arranging travel for drivers, crew, and management, assisting with Concur reporting and Rocket Trip utilization, and managing and distributing international travel and event information.
• Maintaining and distributing First Report of Incidents (FROI) paperwork.
• Filing and maintaining truck and chassis maintenance sheets and pre-race inspections.
• Updating and maintaining damage reports.
• Assisting technicians with personal information updates for Payroll (i.e. address changes, direct deposit, etc.)
• Other duties as assigned by Supervisor.
• College degree preferred but not required.
• Project management experience preferred.
• Proficient in Microsoft Office (Excel, Word, PowerPoint, and Outlook.)
• Previous experience with Kronos and Concur is helpful.
• Personal characteristics: team player, organized, task oriented, quick learner, self-starter, critical thinker, multi-tasking.
• Ability to work in a fast paced environment.
