HMH’s Information Technology Organization is looking for a seasoned Executive Administrator. Candidate must be solid, steady, a strong communicator and exercise exceptional business acumen. The Executive Administrator will provide administrative support to a team of senior IT leaders. In this role, you will assist with managing calendars, coordinating travel with attention to detail and may handle confidential information. Ad hoc projects may include assisting the office of the CIO. Bring your creativity and professionalism while engaging with a talented, fun and productive community. Responsibilities:
• Assist with scheduling and calendar management of the senior leadership team. Anticipate the details when scheduling meetings by including all pertinent information: who the meeting is with, contact number, specifics around the location, etc.
• Assist in making travel arrangements including airline, hotel, and car rental reservations.
• Prepare expense reports and track down missing receipts in timely manner and accordance with policy
• May be asked to provide administrative support to the direct reports of the senior leadership team as needed.
Requirements:
• Minimum of 4 years of professional administrative support experience required at the VP level or above
• Media or Technology business background
• Bachelor's degree preferred
• Computer experience required (Excel, PowerPoint, social media familiarity)
• Excellent verbal and written communication skills
• Strong and well-developed administrative support skills
• High degree of professionalism and mature decision-making capabilities
• Effective interpersonal skills with all levels of the organization
• Detail-oriented
• Advanced ability to prioritize and handle multiple tasks simultaneously; work accurately and composed under pressure
• Ability to use good judgment in confidential situations
• Must be able to collaborate face to face, conference calls, and online meetings
Physical Requirements:
• Might be in a stationary position for a considerable time (sitting and/or standing)
• The person in this position needs to move about inside the office to access file cabinets, office machinery, etc
• Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer
