The job:
Reporting to the VP, Production, the Coordinator will support the smooth running of the production department and coordinate internal process requirements and communications between team members. This role contributes to the successful delivery across all Fortune conferences.
You will:
• Assist with day-to-day production department duties
• Update and maintain calendars, schedules and project tracking reports
• Coordinate communications between team members, both internal and external
• Prepare materials for team and client meetings
• Assist with preparing freelancer production agreements and payment system setup
• Coordinate travel and travel budgets for production crew and staff
• Review and prepare comparative analysis of vendor quotes
• Prepare invoice reconciliations, code invoices for payment and maintain invoice schedule
• Coordinate payment processes to meet finance and procurement guidelines
• Participate in research projects including conference sites, special venues, vendors and entertainers
• Contribute creative ideas for production design elements
• Assist operations team onsite with a variety of physical tasks
• Provide administrative support to the VP, Production
• Travel occasionally
You are:
• Knowledgeable: You have a minimum of two years of experience in a coordinator capacity; prior event experience is a plus. You are competent working in Excel and PowerPoint and adept in learning new software programs. A college degree is required.
• Responsible: You take ownership of projects with a focus on perfecting the details through to completion. You are highly organized and able to prioritize projects efficiently.
• Pro-active: Thinking ahead is second nature and you who can self-direct work projects and independently problem solve.
• Flexible and cool under pressure: You are comfortable working in a fast-paced team and client environment whether you are in the office or at an event.
• Communicative: You have a direct approach to communicating and your written and oral communications are accurate and concise.
