Job Overview
Emmis NY is looking for a dynamic, customer service focused receptionist! This is an entry level clerical and frontline customer relations work, with primary responsibility for courteous and efficient facilitation of telephone calls and visitors. Expedites the steady and courteous flow of internal and external communication, such as incoming/outgoing telephone messages, visitors, messengers and delivery services.
The volume of this front desk is very active with a multiline phone system, visitors for all three radio stations, clients, and winners. The ideal candidate will be able to work in a fast paced environment, multitasking a high volume of calls, and in person interactions and deliveries.
Candidates selected for interviews will be asked to come in person the week of : February 12, 2018- February 16, 2018
Responsibilities
1. Retrieves messages from voice mail and forwards to appropriate personnel.
2. Courteously and promptly answers incoming telephone calls, determines nature of calls, and forwards calls to appropriate personnel or department.
3. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
4. Answer routine questions about organization and provides callers with address, directions, and other information.
5. Welcome on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
6. Ensure completion of sign in paperwork, and oversee front desk security procedures.
7. Distributes tickets and prizes and maintains inventory of such.
8. Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
9. Orders, receives, and maintains office supplies, ordering lunches for meetings as needed.
10. Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
11. Manage mailroom duties.
12. Performs other clerical duties as needed, such as filing, photocopying, and collating.
13. Any other responsibilities that would be required to maintain effective operations of the front desk including- ensuring all visitors/staff are validated to be in the building- upon entrance in Reception. Keeping the surrounding areas organized, and other duties as assigned.
14. Build Master Contact Sheets for Client and Customer Follow Up.
15. Assist Director of Operations with Emmis NY Internship Program.
16. Managing Conference room calendars.

Qualifications:

Education and/or Experience:
High School diploma or general education degree (GED); one year related experience and/or training; or equivalent combination of education and experience.
Language Skills:
Ability to communicate precisely and effectively. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situation to customers, clients, and other employees of the organization.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability:
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Other Skills and Abilities:
Knowledge of computer, telephone system, fax, copier, printer, and postage machine. Ability to work with a wide range of personalities in a courteous, effective and efficient manner. Ability to attend to numerous details under the stress of maintaining courteous, accurate and timely relations with a variety of individuals. Ability to be punctual and meet attendance standards. Ability to work long hours and work well with others.
