The Payroll / HR Assistant will report to the Head of Payroll. This position is responsible for facilitating the processing and maintenance of five biweekly, multi-state payrolls, of approximately 900 employees in total, using the Ceridian Dayforce HRIS system. The Payroll/HR Assistant will ensure the integrity of the payroll process by maintaining and auditing pertinent payroll transactional data, and coordinating the biweekly timesheet approval process.
Responsibilities
• Provide administrative support to the Payroll Manager and Head of Payroll
• Maintain the timekeeping WorkForce Management System, Dayforce
• Provide support and liaise with all levels of staff within the organization in regards to the daily use of the WFM system
• Coordinate the biweekly approval of time off requests and timesheets for exempt and non-exempt staff respectively
• Review and audit timesheets and proactively work with managers to resolve any payroll timesheet issues.
• Audit the flow of information from time and attendance to payroll within the Dayforce system, which includes current data and retroactive adjustments
• Generate and analyze Time and Attendance reports as necessary
• Audit employee transactions in DayForce.
• Input additional checks and special payments in Dayforce Quick Entry
• Retrieve various biweekly financial reports and payroll registers from Ceridian and disseminate accordingly
• Provide 401(k) funding information to Finance on a biweekly basis
• Coordinate with Facilities on the mailing of checks to employees in remote locations and other Springer Nature offices
• Troubleshoot and respond to time off balance inquiries from managers and employees , and update if necessary
• Maintain accurate and detailed payroll records in accordance with company policies and government guidelines
• Coordinate with respective HR Managers on the completion of unemployment and salary verification requests
• Calculate carryover balances in accordance with company policies at year-end for financial accrual
• Support routine and unscheduled internal and external payroll audits
• Develop ad-hoc reports for special projects and initiatives
• Collect and disburse incoming mails within the payroll team on a daily basis
• Retrieve past year’s Form W2s upon request and respond to queries
• Retrieve quarterly Tax Filing reports for all companies from Ceridian and save on shared drive
• Data entry and input of HR information and data changes, including but not limited to, new hires, transfers, promotions, salary adjustments and terminations as a backup to HRIS Coordinator
• Perform other duties as assigned
Experience, Skills, and Qualifications
Essential:
• BA/BS with a minimum of 1 year of professional HR/Payroll experience
• Working knowledge of integrated HRIS and Payroll Systems
• Previous experience processing payroll and timesheets
• Ability to work with and interact well with various departments, levels of managers and employees
• Knowledge of Federal, State and Local payroll regulations a plus
• Minimum of intermediate level user of Microsoft Office 2010, specifically Excel
• Excellent oral and written communication skills
• Ability to work autonomously and adapt while managing competing priorities to produce quality deliverables and meet tight deadlines
• Exceptional attention to detail and data integrity
• Adheres to strict confidentiality requirements and protection of sensitive HR and Payroll data
• Ability to work well with the HR/Payroll Team
