Overview
Event and Special Section Planner
Join Baltimore’s leading media company, The Baltimore Sun Media Group! The Baltimore Sun Media Group is looking for a detailed, creative and energetic event and special section planner to join our advertising sales team.
Responsibilities
The event and special section planner will support the New Business Development Director for special sections and events. Responsibilities include:
Event Coordination:
• Assist Director in event connecting that represent the Baltimore Sun brand
• Execute event marketing opportunities that drive revenue for Baltimore Sun Media Group and clients.
• Manage high volume of multiple communication channels. (ie. databases, correspondence, workflows, productions schedule, etc…).
• Assist in execution of contractual agreements for partnerships and outside vendor relationships in order to achieve the greatest benefits for our brands and our clients.
• Implement all components of sponsorships on behalf of clients including post event reporting and during event execution. This includes physically setting up & tearing down event site or activation, manage proper engagement throughout event marketing and promotions to drive relationship and ensure future opportunities.
• Transport materials for use at events, such as premiums and sales materials, either using personal vehicle or rental truck.
• Act as "Brand Ambassador" at events; includes talking with sponsors, event producers and general public. Occasional need to act as host and speak in front of crowd.
• Stay abreast of industry standards and event ideas from other brands nationwide.
Special Section Coordination:
• Be a sales ambassador to the sales team helping to motivate and drive ad sales in special sections
• Work with staff to develop edit/design schedules and track on a monthly calendar
• Request competitive bids for new publications where needed including freelance writers, photographers and printers
• Along with team of two, determine page count, layout ads and accommodate space requests.
• Provide ad layout and manifest to Ad makeup.
• Provide print orders for sections that print externally and/or need to be inserted into the paper
• Track all revenue for upcoming products and communicate revenue vs. goal on a daily basis to supervisor
• Attend weekly sales team meetings to promote upcoming sections and magazines
• Attend weekly “on-time” meetings to ensure that print jobs are scheduled accurately
• Close out sections by downloading completed manifest and laying out ads and creating P&L

Qualifications:
• Bachelor’s degree
• 2-3 years’ administrative experience preferably in event production, publications and/or project management
• Strong communication skills, both oral and written.
• Energy and enthusiasm
• Deadline-oriented
• Proficient in Word, Excel and other Microsoft software.
