David Zwirner seeks a Human Resources Coordinator to support staff in its New York, London, and Hong Kong galleries. This position is based in New York and reports to the Human Resources Director. An appreciation for organization, the ability to carefully manage time and meet deadlines, and strong communication and interpersonal skills are required. This position will involve significant confidential contact with candidates and staff therefore discretion and poise are essential. A background in the arts is strongly preferred, and an interest in contemporary art is helpful.
Primary responsibilities include:
- Onboard and offboard staff and ensure that processes run smoothly.
- Oversee recruitment, orientation, and oversight of internship program.
- Alongside HR Director, strategize and identify opportunities for improving benefits, increasing retention, promoting brand, formalizing training and development programs and improving gallery communication.
- Alongside HR Director, perform recruitment related tasks: track candidate status in HRIS, schedule, conduct initial interviews, and follow up with candidates as needed. Alongside HR Director, implement recruitment best practices.
- Administer health care and other gallery benefit plans, including enrollments, changes and terminations. Process required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions. Act as liaison between staff and insurance providers.
- Assist with annual performance review and processes, collect performance review forms, maintain and update personnel files accordingly. Alongside HR Director, act as point person for performance reviews and act as liaison to managers and staff for employee relations issues as needed.
- Assist or prepare correspondence as required, such as verification of employment letters, changes of address, and unemployment claims. Ensure accurate employee records are maintained and secured across all platforms.
- Create expense reports, code and enter receipts into ExpenseWatch, and monitor overall department spend making suggestions for corrective action.
- Record and track paid time off and escalate issues to HR Director as needed.
- Schedule meetings and interviews as requested.
Requirements:
- Bachelors degree
- 1-3 years of Human Resources or related experience, preferably in gallery, museum, or comparable arts organization
- Strategic thinking, strong interpersonal skills, self-motivated and solutions focused approach
- Capable of working flexibly and collaboratively with colleagues at all levels of the organization
Position hours are Monday-Friday, 10am to 6pm. Candidate will occasionally need to work additional hours. Only qualified candidates will be contacted. Absolutely no calls or walk-ins please.
