OVERVIEW
To primarily provide administrative and creative support for the SVP, Film Acquisitions and Production as well as other production and acquisitions staff. One of the primary functions of this position will be to keep departmental staff up to date on activities of the department and outside matters of importance, as well as keep staff in contact with each other and with clients to improve productivity overall. Another main responsibility will be to handle and help prioritize the high volume of phone and email correspondence, particularly for the SVP, to allow for greater focus on major objectives such as overseeing the acquisition of approximately 100 feature films a year. Another main responsibility will be to manage the high-volume flow of submissions (which include both scripts and finished film dvds) and maintain that information and keep it readily accessible and available to the whole department. There will be a large outside talent liaising component to the job including event invite lists, as well as collecting and distributing information pertaining to all active projects. This position will also be the first contact for many of our high profile contacts and the relationship they establish will be essential to how the division is represented in the industry at large.
RESPONSIBILITIES:
• Handle high volume of incoming phone calls for the Acquisitions group and primarily the SVP. Calls may include inquiries regarding submitting projects; solicitations from agents, producers and directors seeking to work with IFC Films; inquiries regarding programming for sale; and solicitations from studios and independent sales companies seeking to license feature films to IFC Entertainment. Additional responsibilities include script and project submission policies, on-going contact and correspondence with outside producers, directors, consultants and distributors and internal staff, such as Legal, Post Production, Marketing, Finance, IFC Films and others.
• Circulate weekly agendas within department and IFC Entertainment for all designated personnel.
• Handle basic written correspondence (email, letters and faxes where appropriate) relating to feature films, including pass letters.
• Receive, log and track invoices and APFs and act as key liaison with the Manager, Business Administration.
• Make sure execution payments go out to appropriate producers and agents in a timely manner.
• Create and maintain script and project logs of all incoming submissions.
• Distribute scripts and dvds to appropriate parties.
• Schedule meetings and screenings involving liaison with large number of internal staff, as well as outside production groups and producers of IFC Entertainment films.
• Coordinate invite lists to multiple IFC events annually and maintain master list.
• Fill out T and E forms for key management for IFC Films Participate in special projects and perform other duties as assigned.
• Originate deal memos and liaise with key executives on new acquisition titles.
• Assist SVP and other acquisitions staff in tracking upcoming finished feature films for possible theatrical or ancillary acquisition with sales agents

QUALIFICATIONS:
The position requires someone who is interested in independent film and television, and is comfortable with high-level talent, producers and outside vendors. It requires a self-starter, who is able to work well with others, displays a team spirit and can take the initiative. The role also requires someone with good judgment and a tactful and friendly manner. Good telephone skills are essential, as are great organizational skills and the ability to multitask. Computer literacy and the ability to handle basic written correspondence is also a must.
