Job Description
Ubisoft is seeking a temporary Office Managerto support its development studio in San Francisco. We are looking for a candidate that is attentive to requests and proactively makes sure everything is in order in the studio so the team can focus just on making great games made. This person will support a team of about 100 employees, and will coordinate closely with the local facilities team.
This position has the opportunity to convert to a full-time role.
Responsibilities:
● Organize team events (team building, birthdays, etc.) and assist in setting up business meetings and events and negotiate with vendors/contractors
● Arrange travel for studio staff and guests, and help file expense reports
● Manage stocked supplies (i.e kitchen/bathroom)
● Order lunch and dinner when needed
● Stock fruit, cereal and other snack supplies
● Clean conference rooms and common areas and make sure AV equipment is working correctly
● Manage seating arrangement requests and solve ergonomic issues
● Coordinate with the team and facilities team to setup and periodically change decorations in the studio
● Communicate studio relevant information via newsletters and announcements
● Meet miscellaneous needs of a fast paced development team
Qualifications
● 2-3 years’ experience of proven experience as an office manager or similar role
● Must be flexible and able to multi-task to accommodate ever changing schedules and the needs of the business
● Ability to anticipate needs and be proactive to resolve things as they come up in a timely manner
● Polished, poised and have excellent verbal and written communication skills
● Strong negotiation skills to get the best prices
● Must possess high level of empathy and supportive mindset
