Informa Exhibitions is seeking a dynamic Office Manager to support the Phoenix office. The Office Manager is responsible for providing administrative support and excellent service to managers and staff, by providing office employees and other client’s with premium customer service; addresses problems or issues providing seamless service to employees and vendors.
Main Duties & Responsibilities:
• Prepare all company, department and supplier meetings, including ordering food and beverages, coordinating venues and associated scheduling
• Manages the mail function that effectively supports the location(s) and employee’s needs
• Manages and coordinates activities and communications across the reception function
• Will act as local Human Resources Representative by preparing building key card for new starters, conducting facility tours, completing I-9 paperwork, be liaison for collecting company property when colleagues exit. Will work closely with West coast HR Business Partner on coordinating local health fairs, file employee documents.
• Coordinates with site leader on social activities
• Responsible for facilities duties by coordinating safety evacuations and managing the local floor plan
• Summarizes and prepares reports and complex spreadsheets
• Assists in month-end and ad hoc projects in support of the Operations Leadership Team
• Promote and participate in corporate wellness and sustainability initiatives
• Manage the business continuity plan, including submitting monthly premises health & safety reports
• Serve as the point person for maintenance requests, building & parking access & management
• Plan special projects such as culture & team building events
• Other duties as assigned
Education, Background Knowledge, Skills & Experience:
• Minimum 3 years of office management experience.
• Minimum 1 year of experience managing a team.
• Strong written and oral communication skills.
• Microsoft Office Suite experience.
• Ability to organize & prioritize work as priorities shift while generating solutions to new challenges.
