One Drop is seeking a Project Administrator with an enterprising spirit who is prepared to take on challenges in a stimulating environment. Reporting to the Director of Global Events, the incumbent is responsible for coordinating projects and is able to monitor the Global Events critical path. The candidate should also provide administrative support to the Global Events team and assist the team in achieving their financial objectives
The Production Administrator will support the One Drop team by:
• Assisting the Director of Global Events, along with the One Night for One Drop team, with day-to-day operations including, but not limited to, bookkeeping, ticketing, communications, logistics, and planning (both on-site and off-site);
• Coordinating with third-party suppliers while ensuring that the deliverables are set and aligned in the Master Critical Path;
• Monitoring and developing the Global Events Master Critical Path while keeping track of the project’s deliverables;
• Assisting the One Night for One Drop team in mapping out the projects and ensuring that all related elements are set and in place;
• Coordinating with One Drop’s finance department with respect to projects and budget line items;
• Supporting the Director of Global Events and members of the team in managing their prospect lists;
• Independently carrying out complex and advanced administrative tasks;
• Assisting the team with their agenda and contact list;
• Organizing meetings, preparing meeting notices and agendas, and writing up minutes as required;
• Making travel arrangements / bookings and preparing expense accounts for the Global Events team;
• Following up on requests addressed to the Global Events team;
• Liaising with various departments within the organization and with potential partners and donors, when needed;
• Managing One Drop volunteer base for premieres and global events;
• Coordinating the sale and delivery of special focus projects;
• Supporting and carrying out all other tasks requested by the supervisor.
Ideally, you will have:
• Associate’s Degree in administration or equivalent (Bachelor’s degree, preferred);
• Minimum of five years in a similar position within a team context in the private sector or in another complex work environment such as an executive office;
• Experience with philanthropy teams or in the field of sponsorships;
• Experience in event management;
• Strong customer service skills with focus on the client;
• Strong written and oral communication skills in English;
• Strong proficiency using the Windows environment;
• Experience with a CRM system;
• Sense of initiative, self-reliance, discretion, diplomacy, and tact;
• Excellent organizational skills;
• Ability to work effectively as part of a team and proven interpersonal skills;
• Ability to manage follow-ups and ensure staff accountability;
• Flexibility and availability;
• Interest of the overall organization;
• Ability to work within an evolving organizational context.
