The Scoop:
Based in the Toronto office, you will be a core member of the dynamic team that brings the Virgin Mobile brand to life. You’ll use your skills to help execute the day to day operations that support our brand, business objectives, and marketing goals.

This role assists the Managing Director, Director of Brand and the Director of Brand Experience. You will be the glue that holds the team together, assisting everyone whenever and wherever needed. In this role, you will represent the team to both internal and external contacts as well as Virgin globally. Much of the work performed requires discretion and thorough knowledge of the Leader’s functional area.
Responsibilities:
• Manage the agendas of the Managing Director, Director of Brand & Communications and Director, Brand Experience including all related logistical information
• Plan, organize and coordinate meetings, conference/videoconference calls, events and logistics with corporate partners and national and international business partners
• Ensure administrative follow-ups and provide assistance in preparing briefing documents for the Managing Director
• Prepare reports and documents, such as PowerPoint Presentations
• Provide administrative support to three Directors and liaise with their management team
• Act as the back up to the office manager when required
• Coordinate all travel arrangements
• Complete invoice payments and expense accounts
• Coordinate all HR transactions
• Manage general correspondence
• Coordinate team event’s ( i.e. Team off-sites, Gala’s and events)
Critical Competencies:
• 5+ years’ experience as an administrative assistant to senior leadership
• Strong organizational skills, self-motivation and ability to handle multiple demands by prioritizing effectively
• Ability to anticipate potential issues, develop alternatives and take proactive action to maximize your Executive’s time
• Keen attention to detail and ability to work autonomously
• Excellent oral and written communication skills
• Effective decision-making abilities
• Excellent customer service skills
• Demonstrated ability to maintain the strictest confidentiality
• Strong knowledge of Microsoft software (Word, Excel, Power Point, Outlook) and Explorer
• Excellent aptitude for interpersonal relations combined with an ability to interact with senior management and other team members in a professional and efficient manner
• Demonstrated ability for team work, working under pressure and respecting deadlines
• Flexibility and willingness to work outside normal working hours when required
• Bilingualism is an asset (English and French)

The “Must Haves”
• A post-secondary education in Business, Marketing, Arts or related discipline
• A passion for assisting people, you tend to go above and beyond regularly
• Ability to work in an ever changing fast paced environment
• Proficient in Microsoft Office
• Understanding of deadline management and budget issues
• Consumer retail marketing experience
• Experience with big consumer brands
• Excellent oral and written communication skills are essential
Bilingualism is an asset (English and French)
