Summary of the Position
The Project Coordinator will support the sales team in development, production and delivery of custom products whilst ensuring completion of assigned projects. The successful candidate will take primary responsibility in ensuring that projects are completed to the highest of standards within set time frames.
This is an opportunity for a highly motivated individual to build strong relationships with Springer Healthcare staff, supporting vendors and Springer Nature staff, ensuring high product and project satisfaction.
Main Duties
• Identify and engage key stakeholders in project, from start to finish.
• Identify and build relationships with vendors (such as printers, typesetters, designers and translators) developing a pool for production process considering cost and quality.
• Develop project plans outlining key date and traffic content and issues to and from relevant teams, utilising a coding system for all project related costs.
• Keep full and up to date project files, identifying classifications.
• Identify challenges and barriers in the project process and implement procedures to overcome them.
• Maintain a good relationship with the existing vendor network and identify new vendors when necessary.
• Develop internal and external Standard Operating Procedures demonstrating best practice and keen financial profit awareness.
• Work with sales team to ensure business decisions are financially viable.
• Organise approval and invoicing for clients on project related deliveries.
• Enter all data in relevant project management, sales and purchase order systems, complying with agreed internal processes and coding requirements.
• Liaise with colleagues to promote products and services and ensure that demos and page proofs/artwork are accurate.
• Ensure compliance with copyright laws and Springer branding guidelines.
• Maintain an organised archive of printed material and upload files of finished projects on platforms and storage systems.
Person specification
Essential
• Educated to degree level or equivalent experience
• Must be native in Japanese and fluent in written and oral English
• Demonstrates logical thinking with creative problem solving ability
• Proven understanding of business needs
• Proven experience of influencing staff at all levels to ensure that all members of the team including users and stakeholders own project objectives
• Able to demonstrate motivational skills
• Able to demonstrate impeccable organizational skills and the ability to prioritise effectively
• Demonstrates excellent communication skills; both written and verbal
• Able to demonstrate strong relationship management of both internal and external clients
• Proven ability to manage multiple projects at one time with a proactive approach and using initiative
• Proven excellent attention to detail
• Demonstrates competence in Microsoft Packages
• Proven ability to be adaptable and willing to take on new and different responsibilities as they arise
• Proven ability to work in a team environment or individually
• Sound financial and commercial acumen to deliver profitable projects
