Group Nine Media is seeking a dynamic, hands-on Director of Facilities who will oversee and supervise bi-coastal facility operations, budgeting, purchasing, security, renovation and/or construction, and maintenance of our New York and California offices. The ideal candidate has an aesthetic eye who quickly catches and fix problems as they arise, has a great deal of experience with space planning, and is an expert in devising strategies to develop organizational structures to optimize maintenance/repair functions. The successful candidate will have demonstrable experience in leading the strategic assessment of our geographic footprint and expansion, project managing office build-outs, and developing and managing budgets and processes that ensure the optimal operation of all of our offices. They will be responsible for translating strategic priorities and company culture into the physical reality of our offices and ensure those priorities result in sustainable and measurable results. This position reports to the CFO.
Essential Duties and Responsibilities:
• Through direct leadership of local real estate & facility personnel, direct the day-to-day facilities operations, services, and maintenance activities at all Group Nine locations, ensuring coordination with Finance, HR and IT teams
• Create annual real estate & facilities operational plans and budgets for office space build-outs and any remodels for all Group Nine global locations. Partner with finance and link our headcount growth to key expansion of existing locations and/or requirements in new regions
• Initiate preventative and planned maintenance programs that track facilities to identify short-term and long-term needs and improvements, including developing appropriate budgets and timelines for implementation
• Integrate and align with IT, HR, and Finance in office expansions and build-outs
• Partner cross-functionally to ensure business continuity and physical emergency response plans are in place for all locations.
• Assist with special projects, as needed, including the creation of any facilities-related business cases
• Oversee and manage 3rd party real estate and facilities service providers
• Administer contracts and solicit bids from vendors, negotiate pricing and timeframes and secure contract with vendor as needed; manage RFP process
• Manage and maintain vendor relationships
• Track expenditures and manage department budget
• Direct the performance of all maintenance service requests, ensuring that work is accomplished efficiently with a minimum amount of disruption and inconvenience
• Conduct an annual assessment of all office locations to estimate and prioritize capital expenditures for the next year
• Maintain records on all maintenance and construction activities including floor plan
• Manages and provides continuous quality improvement to all aspects of facility operations
• Effectively oversee and manage four direct reports
• Perform other duties as assigned
Qualifications:
• Bachelor’s degree and 7+ years of experience in building maintenance and facilities across multiple locations/sites; at least 5 years in a management capacity
• Advanced project management skills with demonstrated ability to deliver multiple projects on time/on budget with competing and shifting priorities
• Experience negotiating favorable lease terms in partnership with external commercial real estate firms
• Self-starter with initiative and advanced problem solving skills
• Comfortable dealing with ambiguity and change in a fast paced and growing global technology company
• Demonstrable success managing real estate and facilities programs that deliver against established goals and strategies
• Must be detail-oriented, with strong analytical and financial-management skills. Strong knowledge of risk management and service management required
• Strong verbal and written communication as well as presentation skills; including conflict resolution and influence management skills
• Willingness to travel to and from office locations
