Job Description
ROLE
The Administrative Assistant is responsible for managing the front desk and various administrative activities of the studio, supporting the Admin Team and Studio Staff members.
Job Responsibilities:
• Makes travel arrangements on behalf of Ubisoft Sofia staff & liaise with travel agencies to confirm bookings.
• Receives delivery of flight tickets, hotel vouchers and other travel documents in time and ensure details are correct.
• Places the orders for necessary items with suppliers, in accordance with the studio’s purchasing procedure.
• Maintains reasonable quantities of stationery in stock.
• Coordinates the planning and organization of internal events and team gatherings.
• Manages the internal library of the company (keeps track of items borrowed; performs regular inventories, places orders to buy new items).
• Welcomes visitors & incoming inquiries (calls/fax/e-mails) and direct them to relevant team members.
• Coordinates various employee benefits (distribution, ordering, making proposals for new partners and coordination of agreements).
• Files administrative documentation.
• Assists the members of the Administrative department in various activities such as filing & reporting, correspondence, etc.
• Assists in the organization of external events and team-building programs, as needed.
• Interacts and communicates effectively with all the staff members to accomplish job tasks and assignments.
• Performs other administrative tasks given by the direct manager.
Job Requirements:
• High-school graduate
• Good knowledge of MS Office (Word, Excel, Outlook, PowerPoint)
• Very good English skills (spoken and written)
• Well organized, focused on the details
• Good interpersonal and social skills
