Description
Responsibilities
• Support the leader of the business and extended staff on a day-to-day basis.
• Manage and maintain calendars, schedule, and coordinate various meetings.
• Make business travel arrangements and manage travel itineraries.
• Plan and coordinate events and meetings on and off site, including preparation of meeting materials.
• Maintain email aliases, distribution lists and shared directories, including maintaining permissions.
• Provide meeting support: prepare agendas, take notes, distribute meeting minutes and presentations, track action items, and communicate status.
• Create purchase orders, track purchases, and generate expense reports.
• Ensure facility expenses are paid in a timely manner.
• Coordinate with HR to process new hire employee paperwork.
• New employee onboarding and orientation.
• Proactively escalate issues that need manager’s (managers’- plural?) immediate attention.
• Develop and maintain positive working relationships with staff, internal departments and outside vendors to effectively coordinate activities and collaborate on special projects.
• Collect information and write various updates for internal reports and newsletters.
• Understand company systems, operations, policies, and procedures and work with the team on related tasks.
• Perform general office/facilities management duties such as ordering supplies and acting as point-person for building maintenance needs.
Requirements:
• 5+ years’ experience in a similar role.
• Demonstrated administrative and office management skills.
• Excellent oral and written English communication skills.
• Excellent time management and prioritization skills.
• Ability to interact with a large distributed team.
• High degree of initiative and ability to work independently.
• Proficient in Windows and Mac operating systems and business applications.
• Experience creating PowerPoint/Keynote presentations.
• Can travel to events or internal meetings, locally or internationally when needed
