Executive Assistant
Role- Maternity cover, 9-12 months

To provide highly professional support to the Managing Director, ensuring the smooth running of the office and maintaining a high degree of confidentiality. The role is a critical one in supporting the MD in a fast moving business with heightened media attention from the outside world; as a result some flexibility around working hours is expected

Principal Responsibilities
The Primary focus of the role is to support the MD in all aspects of his role. Some BAU responsibilities are below.
• Act as a first point of contact for the MD - greeting visitors, fielding telephone calls and responding to correspondence. Presenting a professional image at all times.
• Support the MD in diary and email management, including: setting up meetings; prompting the MD to review diary bookings; alerting him to urgent email messages - in order that time is managed effectively.
• Carry out general administrative support for the MD (including dealing with post, filing, photocopying, scanning, faxing) and maintain up to date information on departmental information.
• Organise travel arrangements both regional and international (including hotel, train and flight bookings).
• Develop and implement plans, within set budgets, for events specific to the role, e.g. presentations; staff meetings; corporate events.
• Provide advanced technical admin support to the MD in creating reports and presentations, using Word, Excel, PowerPoint and other software tools as required.
• Building relationships with other Executive Assistants to ensure matters can be resolved quickly & efficiently.
• Office management - Be the focal point for the team, bringing them together and contributing to team meetings
• Managing and responding to invites and engagements.
• Maintaining departmental records using SAP and other means, relating to absence, sick leave etc.
• Collating all relevant papers / information for meetings ensuring Exec is prepared in advance.
• Preparing weekly and monthly board reports.
• Submitting Execs expenses and managing expense approvals on behalf of MD.
• Line management and mentoring of Team Assistant.
Experience & Skills required:
• 5 years previous board level EA/PA experience.
• Ability to work without supervision.
• High level of discretion and confidentiality.
• Attention to detail.
• Strong Interpersonal and communication skills.
• Ability to prioritise and be highly organised.
• Proficient in Mac - Word, Excel. PowerPoint & Gmail.
• Experience in dealing with a wide range of organisations, managers and senior executives.
• Ability to work to under pressure and to tight deadlines whilst display good attention to detail.
• Be proactive and willing to work in a busy and often demanding environment.
• Ability to analyse problems and demonstrate autonomy and initiative to create, develop and implement successful solutions.
• Ability to set priorities to respond to changing circumstances and needs, to anticipate needs and be proactive.
• High level of personal and data organisation skills, particularly with regard to maintaining security of confidential data.
