Photo Coordinator - Meredith Parents Network
The Photo Coordinator is responsible for managing the paperwork associated with the Meredith Parents Network photo department and its photo shoots. This includes, but is not limited to: setting up vendors in company database and obtaining necessary approvals, generating all photographer and stylist contracts and seeing them through to signed completion, obtaining model paperwork and associated invoice tax forms, obtaining invoices and correct tax documentation from all vendors, and processing rush checks. The Photo Coordinator will also assist with studio and location agreements, liaising with legal department and the Managing Editor when necessary.
The Photo Coordinator must be a highly organized, efficient, computer-savvy individual who can proactively search out information from vendors and communicate effectively (phone and email) with them. They must be a stickler for detail, a pro at multi-tasking, and a calm, easy-going collaborator with photo department members. They must be able to prioritize and thrive under tight deadlines. They must be self-motivated and able to work independently in this process of gathering and submitting information, writing documents, and seeing the documents through to signed and filed completion.
The Photo Coordinator will be responsible for ensuring that invoices are correctly formatted, and directly corresponding with vendors in order to request changes, and get invoices that are ready to be submitted to our Billing Coordinator. The Photo Coordinator will communicate with the Billing Coordinator to figure out and settle problematic invoices.
Essential Job Functions
30% Setting up and managing vendors in company database
30% Generating and tracking photographer and stylist contracts
20% Obtaining child model paperwork and tax forms
15% Processing invoices and rush checks
5% Special projects as requested by Photo Director
Minimum Qualifications and Job Requirements | All must be met to be considered.
Education: college degree
Experience: 3 years work in publishing or a related field, experience with legal documents or other sensitive paperwork, administrative tasks. Knowledge of photo shoot production a plus.
Specific Knowledge, Skills and Abilities: mac proficient, Microsoft word, excel
