The Sales Adoption Administrator is responsible and accountable for accurately preparing all bid, letters and contract documents to meet the requirements and established deadlines for the various States and Districts. Also responsible for maintaining accurate files of in-process documents and also final contracts. Also communicating all bid and contract specifications with other departments that are involved in the adoption process. The Adoption Administrator will take end-to-end ownership of assigned adoption states/districts that include, but not limited to, an understanding of the specific adoption requirements, then plan, organize, schedule and lead all efforts and meetings, leading to on time delivery of our bid and subsequent contract.
The Adoption Administrator will work collaboratively with department members, sales, product management and other subject matter experts. The Adoption Administrator must be responsive, decisive and proactive. The Adoption Administrator needs to exhibit critical thinking skills, sound business decision making skills, and be an experienced problem solver. They must also have an “add value everyday” mentality. He/she must possess the ability to plan, communicate and coordinate a variety of work with a variety of individuals to produce high quality documents and do so without drama.
Responsibilities:
• Research, evaluate and prepare all information pertinent to the bids and contracts process including price escalations, contract extensions, and sole source letter requests.
• Record and communicate bid and contract terms to management and others on the state/district team.
• Identify and communicate procedures.
• Implement systems and methods to insure efficiency and accuracy.
• Communicate contract information to all affected individuals and departments, according to their own needs and procedures.
• Be aware of impact on other departments.
• Identify and summarize pertinent information for other departments; its uses and effects.
Qualifications
• Minimum 5 years of progressive experience in a fast-paced, deadline-driven office environment.
• Prior experience in Adoption Administration, Contracts, Legal, Sales, Management or Marketing experience preferred
• A college degree preferred. In lieu of a college degree, appropriate work experience of more than 5 years in the above listed disciplines.
• Must possess a proactive approach and ability to direct and orchestrate large, multi-staff team efforts with tight deadlines.
• Proven ability to manage the development of customer documents.
• Proficient in Microsoft Office software required, Word, Excel and Access preferred.

• Proficient in Microsoft Office software required, Word, Excel and Access preferred.
• SAP knowledge preferred.
