Publishing Operations
Publishing Operations provides print and digital cross-business, publishing and support services for Editorial, Commercial, Marketing, Syndication and Operations.
Publishing Services
Publishing Services is a department designed to provide a variety of planning and production services to our multi-platform newsrooms. The primary functions of the department are:
1) To provide centralised, pan-title edition planning and special project planning support
2) To provide on-site production and publishing support for our newsrooms across both print and digital products, servicing both editorial and commercial production needs
3) To support the delivery of consistent and efficient production workflows across our titles with the specific aim of preserving the consistency.
Crucially, the team will deliver these services using a pool of managers and coordinators who work across title and all of whom are highly training in both print and digital disciplines and techniques.

Key departmental responsibilities include planning and configuring editions, ensuring commercial space is placed correctly, routing editions to remote print centres, staging tablet editions and troubleshooting technical issues. The team provides the communications link across multiple business partners including Editorial, Commercial, Technology, Marketing and Operations. They operate 365 days a year working from 10.00 to 03.00 hrs.
Summary of the Role
Publishing Services Coordinators support the News UK titles by providing professional, integrated and efficient publishing services across print and digital platforms. They are multi-skilled and fully capable of working across all titles and digital platforms. The Coordinator provides the interface between Editorial, Commercial, Marketing, Technology and Operations for the configuration of newspaper and tablet edition plans. They are responsible for the accurate placement of commercial space within defined guarantees to ensure protection of revenue and providing efficient and effective routing and staging of files to the correct print site and platform for the publishing of newspaper and tablet editions.
Additionally, the Day Planning Coordinator will be responsible for closely supporting the Publishing Services Planning Manager and will be capable of working cooperatively across all titles, platforms and departments in order to accurately coordinate and deliver publishing plans. Over time, it is envisaged that this role will be rotated across the wider coordinator team, though initially limited to nominated staff owing to the specialist skill-set and small team/high dependency nature of the role.
PRINCIPAL ACCOUNTABILITIES
• Undertake the daily configuration of edition Methode Page Plans, EMS, Karma and Newsway for tablet and newsprint products. Ensure plans are regularly updated throughout the planning and publishing cycle and communicated to the relevant parties including, Editorial, Commercial, Marketing and Operations.
• Provide communications interface between Editorial, Commercial and Marketing for Commercial space negotiations and positioning within the Page Plans. Coordinate with key stakeholders to ensure editions are planned within the agreed advertising and editorial ratios
• Place all Commercial creatives and content accurately within the plans, in accordance with agreed procedures and guarantees
• Work collaboratively with the Commercial Continuity Planner and Editorial to resolve any issues within the product outside the normal Commercial working hours
• Ensure effective and efficient channels of communication both oral and written exist and are maintained between Publishing Services and Editorial, Commercial, Marketing, Manufacturing, Technology, print centres and Operations departments regarding the publishing processes.
• Prepare reports in accordance with agreed procedures, including the Publishing Services Night Report, detailing file flow, production events, and technical issues to provide the business with an accurate summary of publishing performance.
• Effectively and efficiently troubleshoot, triage, escalate and report issues throughout the production cycle including technical and planning issues.
• Accurately and efficiently execute the business contingency and disaster recovery process to ensure business continuity including the CPW process
• Provide support to the management team and other areas of Operations as required
• Provide cover as required for other team members.
• Additionally, the Day Planning Coordinator, working closely in support of the Publishing Services Planning Manager, will provide the key point of contact for coordinating the planning of all editorial production activities
TABLET
• Undertake the loading throughout the evening of all tablet pages in the edition to identify issues prior to staging
• Check all tablet videos during the production cycle to ensure they are working correctly and resolve any issues prior to staging
• Check the contents of the tablet edition throughout the evening to ensure it is displaying correctly
• Check the slide shows in the tablet edition to make sure they play correctly without crashing
• Check the tablet edition in portrait and landscape view to ensure it will display and stage correctly
• Check the Atom feed for the front page URL within Newsstand and the App store show an image of the front page of the edition
• Undertake the publishing and staging of the tablet edition ensuring it is published in a timely manner
• Provide reports to the Commercial teams if advertising creatives in the tablet product cannot be placed or do not meet guarantees
NEWSPRINT
• Undertake the accurate creation, placement and checking of the mandatory page items e.g. price, folios, barcodes, date lines, section names, imprints, to ensure there are no content omissions or corrupt content on all cross platform products
• Undertake accurate routing of page content to print centres, ensuring all editions are routed in a timely manner and communications links with Night Operations and print centres are in place to confirm safe receipt of all files and closure of each edition
• Assist Editorial to achieve file flow deadlines
• Undertake the effective execution of the Exception Policy
• Perform page content checks to ensure no omissions or corrupt content
GENERAL
• Support the development and delivery of new business and revenue generating opportunities
• Work in collaboration across Publishing Operations to promote and support a one-team approach
• Encourage and support the development of a professional service culture throughout the department, aligned to the department Strategy and ’Our Principles’
• Support other teams within Publishing Operations through the cross-skilling programme

Functional and Professional Knowledge
• Proven track record in accurately planning editions software with sound business acumen
• An excellent understanding of newspaper and tablet publishing and the associated software packages

• Demonstrates a structured, organised approach to their work and ability to plan and prioritise tasks on a daily basis
• Excellent knowledge of basic office computer packages e.g. Google, Word, Excel
• The Planning Coordinator will demonstrate the ability to exchange information and ideas in a concise and logical way and successfully negotiate and influence the key business stakeholders
