Job Title: Administrative Assistant
A little bit about our team:
Under direct supervision, with some latitude for independent judgment and decision is responsible for assisting the CEO’s office.
Here you’ll get to:
• Managing Heavy Phones and Call Lists.
• Managing an Executive Calendar.
• Expense Reports.
• Travel Itineraries.
• Greeting guests & set up/clean up for in-office meetings, etc.
• Errands (Food/Misc.)
• A&R Department Ticket Buys.
• Sharp Data Entry for CEO's roster.
Rockstar candidates will be able to:
• Must be able to multi-task.
• Must be a quick problem solver.
• Must be confident and speak clearly and confidently on the phone and with executives & CEO's.
• Must be a self starter.
• Must pay CLOSE attention to detail and execute tasks diligently and without error.
• Must have general computer skills including a working knowledge of Microsoft Office, iMac, Entourage and Soundscan.
• Knowledge of general business practices.
• Posses a strong work ethic.
• Strong organization skills and pay high attention to detail.
• Strong communication skills (written and verbal).
• Ability to adhere to deadlines and execute on tasks and handle multiple, diverse assignments.
• Produce quality work and be accountable.
• Manage time.
• Ability to work well in team.
• Demonstrate ability to be innovative and suggest change/improvements within scope of work.
• Anticipates needs and creates efficient and effective processes.
• Self-starter, self motivated and takes responsibility/ownership of tasks.
• Thinks outside the box proactively, strategically and analytically.
• Consistently takes initiative.
• Demonstrate flexibility and adaptability to changing situations.
• Demonstrate a high level of customer service and phone etiquette.
It would be music to our ears if you also had:
• Photoshop Skills.
• Graphic Design Skills.
• One (1) to two (2) years of administrative experience preferably in a music publishing company.
• A High School Level education, or its equivalent, and a baccalaureate degree preferred with a major in business administration; coursework to have included principles of music business and/or related fields.
• A satisfactory equivalent of education, training and experience in related fields and/or educational disciplines, sufficient to qualify for the requirements of position.
