HarperCollins Publishers is currently seeking a Human Resources Coordinator for its Christian Publishing Division. This position will be based in Nashville, TN.
The Human Resources Coordinator will work as an integral member of HarperCollins Christian Publishing’s (“HCCP”) Human Resources team with key areas of focus being: ownership and management of key HR processes, administrative support for department and VP of HR, budget support and accountability as a member of a high functioning team.
The HR Coordinator will report to the HCCP Division’s Vice President of HR (based in Nashville, TN).
Responsibilities:
• Own and Manage key HR Processes:
◦ Recruiting Support which includes posting jobs, scheduling interviews and managing background checks (including E-Verify for Tennessee) all of which require frequent, professional interaction with recruits, vendors and internal resources.
◦ New Hire, Onboarding and Orientation Process a critical component to the transition and incorporation of new employees to the company and its culture. This includes drafting confirmation emails and assisting with the welcome process by providing an organized, helpful, and reliable first experience.
◦ Payroll support and backup which requires attention to detail, follow-through, ability to meet deadlines all in a confidential manner.
◦ Independent Contractors which includes drafting and issuing contracts and requires attention to detail, judgment, collaboration and analysis.
◦ Temporary Worker Placement for all locations which requires an understanding of the organization, ability to collaborate, meet deadlines and professionally manage outside vendors to ensure the best interests of HCCP are met.
◦ Termination Process which includes scheduling exit interviews and sending appropriate notifications and requires a helpful, reliable and, at times, empathic approach.
◦ Compliance which includes managing sensitive and confidential data in an accurate, timely and confidential manner.
• Administrative:
◦ Departmental point of contact for employees and outside stakeholders to answer general questions and provide pertinent information when possible, and giving direction to the appropriate resource as necessary which requires a professional, reliable and helpful approach.
◦ Calendar and organizational support for the VP of HR.
◦ Travel planning and expense reporting for the department.
◦ Ownership of HCCP’s Organizational Chart which includes review and update following each payroll cycle.
◦ Manage departmental supplies, filing, orientation materials.
◦ Ensure filing, including personnel files, is accurate and current.
◦ Process monthly employee service awards for Nashville-based employees
◦ Manage the process of ordering gifts and flowers for employees including evaluating vendors and making recommendations as needed to ensure the best quality product at the most competitive price is offered.
• Budget:
◦ Partner with the VP of HR to develop the annual department budget.
◦ Review, reconcile and provide a budgetary update to the VP each month.
◦ Review, reconcile and process the departmental credit card for payment each month.
◦ Ensure timely and accurate payment of all invoices including ensuring the appropriate department and budget center is charged for expenses.
• Team:
◦ Work as a member of HCCP’s HR team which includes proactive communication, collaboration and leveraging the team’s knowledge and experience to gain optimal results. All of this is balanced with a focus on individual accountability and ownership to achieve results.
◦ Develop relationships and partner with HR colleagues in NYC and other HC locations when appropriate.
Qualifications:
Skills and Qualifications:
• 2+ years of work experience in human resources, marketing, or administration or a related field is required.
• High School diploma or equivalent is required.
• BA/BA college degree strongly preferred. Comparable work experience will be considered.
• A desire to develop in the HR profession is strongly preferred.
• A proven track record working with / managing sensitive and/or confidential information is required.
• Business aptitude with an understanding or an interest in understanding business concepts and financial terms/measures is required.
• Experience working as a member of an integrated, collaborative team is strongly preferred. Experience building relationships and working with leaders and employees in offsite and/or remote locations is preferred.
• Strong systems orientation including a solid working knowledge of Microsoft Office is required. Ability to manage, retrieve and analyze data using Excel strongly preferred.
• Experience utilizing social media in a professional environment is very strongly preferred.
• Experience with iCIMS, Concur and UltiPro helpful.
• Occasional overnight travel may be required.
• Ability to work a full, professional schedule required.
