Overview:
We are currently seeking an Executive Assistant to provide support to the EVP of Operations. This is a fantastic opportunity for someone who is adaptable, happy to lend a helping hand, and is hyper-organized and detail-oriented!
Responsibilities:
• Provides extensive administrative support to EVP, Operations: monthly & daily calendar management, makes travel arrangements (International and domestic), screens calls, processes monthly expenses.
• Works with other Executive Assistants on coordinating executive meetings/travel when needed. Provides coverage when needed.
• Provides administration support to Operations Technology Group; Sets up lunch meetings, video conferences with multiple locations, greets guests, coordinates travel, books hoteling spaces, books conference rooms.
• Provides some administrative support to President of Sales, when needed.
• Compiles and organizes the Monthly Operations Reports for the Executive Committee Meeting.
• Handles all the stationery/business card orders for all US locations – ensures all orders are correct and properly codes/processes invoices.
• Attends weekly Office Services meeting.
• Works with HR, Office Services and Customer Support on logistics for desk moves. Updates and organizes iOffice Facilities Management Software for new hires & relocation of current employees. Works with HR on the Internship programs for seating options.
• Orders necessary items for facilities and mailroom when requested.
• Manages nameplate process for all new hires and terms.
• Scans and uploads all contracts and leases into Docushare.
• Updates office information on the internal company portal using SharePoint.
Qualifications:
• Must have 5+ years’ work experience assisting someone in a management position
• College Degree or equivalent work experience required
• Must be friendly, customer service-oriented and have a can-do attitude
• Extremely organized, detail-oriented, and demonstrate the ability to problem-solve
• Able to work independently and set priorities
• Ability to multi-task and handle numerous job responsibilities simultaneously
• Must have exceptional written and verbal communication skills
• Ability to pick up new programs/skills quickly
• Must have strong computer skills; Knowledge in Microsoft Office (Word, Excel, and PowerPoint) essential; knowledge of Concur, Hiperos, Docushare and Cisco preferred
