SUMMARY:
Supports the Facilities & Production business units within the department by coordinating all tenant (internal & external) requests including repairs & maintenance, parking, production services and drive on requests and implements procedures to accommodate using approved processes and forms as directed by General Manager and division Managers. Supports USFPG Contract Administration; including maintaining all client information and facilities research ProcurIt Administration for all USFPG divisions including RFP’s invitations for bids and Capital EAR’s. Position creates opportunity to improve company profitability, customer satisfaction (GSAT) and employee (TSAT) ratings.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
•Coordinates and processes all tenant repairs requests, general inquiries & request for production services to schedule facilities, client services or production labor. Tracks labor costs associated with stage and back lot productions for billing
•Schedules facility repairs, preventive maintenance and work orders for all revenue and non-revenue tenant facilities. Follows through process to completion.
•Implements process and creates as well as maintains all financial billing for work performed. Tracks B32 CAM expenses and generates RFB as needed and ensures tenant tracking data is current at all times.
•Daily administration of all drive on requests for clients housed in B32, B22A, B17 and Sound Stages. Coordinates any use of the USFPG parking areas requested by other UO departments. Maintain the integrity of the sound stage and B32 parking areas to support USFPG client base. Administers production parking lot footprints and tenant expanded use requests. Processes drive on requests (Gate 3) for all tenants to maintain parking lot commitments.
•Assists Facilities Manager on capital & expense financial and legal paperwork flow (EAR requests, invitation for bid, work authorizations, scope of work). Prepares reports to detail reasoning and creates PPT presentations for Sr. Management to present planning, maintains and collects tenant COI documents to ensure compliance and updates department S drive folders insuring timely contents. Coordinates purchasing (purchase orders, work authorizations, invitations for bids, sole source documentation, scopes of work and receiving).
•Prepares and provides commercial real estate market research to assist with contract sales & renewals. Assists with preparation of proposals for pitching new and returning tenants.
•Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
•Perform other duties as assigned.
SCOPE:
Individual administers a significant volume of work orders, requests and multiple inquiries from internal divisions and tenant relationships. All requests must be vetted, scheduled and monitored until completion. Commensurate to work, position must administer all financial billing associated with requests.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required:
•Position must have ability to multi-task incoming requests while facilitating existing orders from the number of inquiries coming through this role. Strong communication skills are required to clearly understand requests and successfully administer process for completion. Individual must have ability to understand level of importance and urgency of requests and have strong writing skills to quickly respond and direct workflow. Computer literacy with Microsoft applications (Word, PPT, Excel) required.

EDUCATION: High school degree or GED is required. Associate’s degree (AA) is preferred.
EXPERIENCE: Ideal candidate would have several years of administrative experience ideally with 4+ years of commercial property experience.
CERTIFICATIONS, LICENSES, REGISTRATIONS: Candidate ideally has some commercial real estate or property management experience and knowledge of dealing with tenant, tenant leases and estimating real estate costs per sq foot and CAM (Cost Associated Management).
PHYSICAL DEMANDS While performing the duties of this job, the individual is required to:
•Regularly (2/3 of the time or more) Ability to maintain alertness and attentiveness up to 4 hours while working varying hours, ability to maintain concentration/focus (e.g., ability to interpret the work environment and make decisions on predetermined operating policies and procedure)
WORK ENVIRONMENT While performing the duties of this job, the individual is required to:
•Occasionally (1/3 of the time or less) will require a valid Florida state driver’s license.
