The overall purpose of the Senior Project Coordinator role is to support the administrative tasks of the Project Management team. The Senior Project Coordinator is accountable for processing plant purchase order and invoices, updating data systems, tracking dates, pulling reports and providing assistance with data analysis. The Senior Project Coordinator liaises with the Project Management team to ensure that activities are correctly recorded. This role supports meeting activities to ensure effective communication on overall project progress and success.
Administration – Responsible for providing administrative support on one or more projects. Under direct supervision of a Project Manager follows set protocols. Organizes various components needed to ensure successful delivery. Supports the execution of detailed program component budgets, schedules and project plans for assigned project. Assists in documenting project requirements, creates purchase orders, secure estimates, and tracks/processes invoices through to payment. Processes purchase orders and invoices for vendor/independent contractors.
Assists in compiling reports as required by manager. Updates and maintains Pearson Process Library for Project Management.
Monitor/tracking – Responsible for updating project schedules and timelines to support project managers as needed, providing information to other Pearson departments including Design Services and Asset Management. Maintains a meetings master schedule for the project management team.
Planning/Execution – Responsible for coordinating meetings, including preparing and/or editing meeting agendas and minutes, presentations and materials. Coordinates a small project or phase(s) of a larger project. With supervision may work directly with vendors and internal stakeholders.
Data entry – Responsible for supporting data management activities by ensuring data and databases (PCS, SAP, online catalogue etc) are up-to- date and accurate. Filing various project documents (hard and soft copies) and ensuring project records are accurately archived for audit purposes.
Qualifications
Post-secondary degree/diploma or equivalent qualification
A minimum of 2 years related experience would be an asset
Experience in an administrative environment would be an asset
Working towards Certification in Project Management would be an asset
