Responsibilities
• Support all administrative needs for the heads of Creative Marketing and Production by professionally answering and managing phones, managing and preparing all correspondence, expenses and travel arrangements and coordinating calendars, including the scheduling of meetings and appointments
• Development, drafting and creation of department presentations and research decks, in conjunction with materials needed for additional E! network departments including Ad Sales, Consumer Marketing Strategy, Programming, PR, Digital/Social
• Assist in multiple capacities on special events, such as consumer marketing programs and Upfronts
• Facilitate awards submissions – organizing the identification of spots, print, digital for Awards consideration and process entries
• Coordinate IT and facilities services for department-wide computer/IT requests, facilities requests, wireless device requests, phones, office needs
• Oversee department orders of supplies/purchases for the office as needed
• Special projects as assigned and needed, such as office redesign, brand identity idea contribution, creative idea contribution for additional departments (Programming, Strategy, PR, Digital)
• Process and submit expense reports
• Maintain all department records and inventory including updating contact information
• Assist with new hire paperwork and orientation
• Research and Recommendations on outside vendors
• Tracking of department employees’ vacation, sick and personal time off
• Department p-card reconciliation, reporting and tracking
• Manage all tech needs/setup/testing/asset delivery for presentations across multiple conference rooms, computers, projectors, mobile devices, for department management, team members, as well as additional E! department heads
• Compose letters, forms, procedures, proposals, and other correspondence as appropriate for department
• Department-wide and cross-departmental meeting coordination, location, material gathering, and agenda preparation
• Serve as liaison to creative & production team as well as other departments, external vendors, and consultants
• Clerical support includes filing, faxing, copying, updating contacts, and other duties as needed
• Provide Admin support for Creative and Production VPs & Directors
• Assist in sending/receiving materials to/from outside vendors, etc.
• Provide backup assistance to other team members, including production, writers, and producers
• Interface with the creative community as well as all levels of the E! and the NBCU Organization
Qualifications/Requirements
• Bachelor’s Degree
• Minimum 1 year previous administrative experience
• Minimum 1 year experience working in the television or entertainment environment
• Proficiency in Microsoft Office including Excel, Word, PowerPoint, and Outlook
