Blizzard is looking for an experienced, motivated, and highly organized professional to function as a Senior Administrative Assistant for the Managing Director & Senior Director of Latin America Publishing, and support the Latin America team and all its senior managers. This position requires a critical thinker with an eye for detail and the ability to work in a dynamic, fast pace environment. The ideal candidate will be ready to provide service at a moment’s notice, stay cool under pressure, be resourceful and handle multiple projects fluidly. Experience in a technology, game or entertainment multinational company, a passion for all things Latin America and fluency in Spanish or Portuguese are pluses.
Responsibilities
• General office duties:
◦ Reconciling expense reports and budgets, office supplies management, routing contracts and invoices for payment, filing, etc.
◦ Manage the office wellness: shopping and stocking team’s bar, catering for meetings, etc.
◦ Setting up workstations for visitors and new employees
◦ Manage facilities, office maintenance and troubleshoot office issues (from AC to coffee machines, to IT-related issues)
• Manage correspondence, FedEx and international shipping
• Keep a calendar of employees’ birthdays and national holidays in the U.S., Mexico, and Brazil and keep the team aware about them
• Support for Latin America’s managing director and all its senior managers
• Event planning organization, oversight, travel & expenses budget control – domestically and internationally – with an emphasis on details
• Make complex international & domestic travel arrangements, including passport & visa procurement, car rental, hotel booking, often with little notice
• Provide support to Marketing, PR, Community and Esports events – domestically and internationally – as needed
• Plan meetings and conference calls, including calls across multiple time zones around the world
• Manage and stay out in front of multiple busy calendars and balance appropriately
• Prepare written communications to internal and external contacts
• Organize various special meetings, team activities and special events
• Conduct tours for visiting guests
• Manage competing priorities and complex tasks with minimal direction
• Act as a liaison with internal departments (IT, HR, Shipping, Finance, Events, etc.) as well as represent the department, its leadership team and their needs with internal stakeholders
• Organize onboarding process for new employees, which includes arrangements for HQ orientation (both in the U.S. and regional offices in Mexico and Brazil), order hardware and software, workstation setup and follow up accordingly to provide new employees an epic onboarding process
• Connect regional offices in Mexico and Brazil with Blizzard’s HQ (and vice-versa) through innovative ideas and strategies to ensure remote employees feel connected to the team and improve collaboration between coworkers
• Handle other duties as needed
Requirements
• 5+ consecutive years of experience in an administrative or executive assistant role
• Understand cultural differences and know how to navigate them to accomplish objectives and deadlines
• Experience with budget management
• Advanced Excel experience and strong proficiency in Microsoft Office applications (Word, PowerPoint, Visio and Outlook)
• Excellent written and oral communication skills
• Impeccable organizational and time-management abilities
• Strong critical thinking skills
• Self-starting personality with the ability to handle multiple projects simultaneously
• Exceptional attention to detail as well as ability to see the big picture
• Ability to act with discretion when handling confidential matters
• Confident and approachable demeanor
• Possess a strong commitment to quality
• Willing to work nights, weekends, and overtime as required
• Ability to act independently and make decisions with minimal direction
• Travel domestically and internationally as required
• Passion for all things Latin America and the Latino culture
• Bachelor’s degree or equivalent experience
Pluses
• Experience in atechnology, game or entertainment company
• Experience working on an international scale
• Fluent in Spanish or Portuguese
