Programme Coordinator
Purpose of Role:
We are looking for a full-time, highly organised, passionate and energetic candidate to support a large programme of work in London. You will be proactive, be able to use your initiative in every area of your role and be able to work across multiple projects. We are looking for someone driven by tackling problems with creative thinking, being part of a fast moving team and being able to apply your skills and experience to wide range of tasks. Key Tasks:
• Take ownership of issues that affect the team’s ability to work effectively and coordinate any actions as appropriate to help resolve as quickly as possible
• Proactive diary management including filtering meeting requests and responding as appropriate
• Organising internal and external meetings with key stakeholders, agencies and vendors including a suitable room, thinking about A/V or remote workers and sometimes catering
• Ambassador for the team; see as the ‘go to’ person for key ACDC programme stakeholders
• Working with Xflow, (the expenses system) to raise, code and process invoices, as well as maintaining freelance ledgers. Work with accounts department and vendors to facilitate the prompt payment of invoices and answering related queries.
• Assist with budget management, liaising with the team to make sure budget information up to date and on time
• Tracking and managing expenses for the Director
• Manage and track travel arrangements for the team. Work with the company allocated travel agent to book travel. Keep up to date with Springer Nature’s travel policy and follow policy procedures to ensure timely sign-off of travel requests. Work with staff and agents to ensure visas and other travel requirements are in place when necessary.
• Attend and minute weekly team meetings to create and then circulate the meeting decisions and actions within the team group on the social intranet; follow up where appropriate
• Proactively add content to the company intranet to showcase the progress of the ACDC programme
• Manage the starter and leaver process: induction, setting up new user profiles and equipment, liaison with Macmillan facilities, and other departments. Work with department managers to support the procurement of hardware and software through our Technology team to ensure timely delivery
• Supporting the roll-out of the weekly round-up newsletter and other key announcements
