HarperOne, an imprint of HarperCollins Publishers, seeks a dedicated, organized, multi-tasking Administrative Assistant to support HarperOne’s SVP, Publisher and VP, Associate Publisher. This administrative role provides general support to the Publishers, but also supports a variety of marketing activities including updating PowerPoint decks, data entry, and tracking expenses. The role requires someone skilled in writing, maintaining spreadsheets, taking clear meticulous notes, and managing deadlines. The Administrative Assistant will be exposed to many aspects of book publishing.
Responsibilities:
• Schedules and coordinates meetings, video conferences, and conference calls.
• Prepares and distributes materials for meetings.
• Takes notes in select meetings, and distributes accordingly.
• Processes monthly expense reports.
• Books travel.
• Executes mailings as needed.
• Prepares materials for seasonal presentations and internal meetings.
• Formats and distributes weekly reports.
• Enters data for seasonal marketing campaigns.
• Provides occasional budget support: updating spreadsheet and tracking of expenses.
• Helps track covers throughout development process
• Assists creative director with licensing for artwork as time permits.
• Creates and updates PowerPoint decks.
• Provides social media support, as time permits.
Qualifications:
• 4 year college degree or equivalent work experience
• Minimum 3 years' related experience
• Excellent communication and multitasking skills
• Exceptional writing skills
• Ability to work effectively with all levels of management
• Ability to be flexible, reliable, efficient and self-motivated
• Excellent organizational skills and attention to detail
• Proficiency with Microsoft Word, Excel, and PowerPoint
• Knowledgeable about social media for marketing purposes
