The role this team supports delivers work for Universal Networks International (UNI), the global channels division of NBCUniversal.It is one of the world’s premier entertainment networks, delivering quality content and compelling brands to 150 territories across Europe, the Middle East, Africa, Latin America and Asia. The portfolio includes the brands – Syfy, Universal Channel, DIVA Universal, Studio Universal and 13th Street Universal and now, with the acquisition by Comcast Corporation, E! Entertainment Television, The Style Network and Golf Channel. These brands deliver a full range of entertainment experiences to local audiences across the globe.
Responsibilities
To provide direct day to day administration and support to the VP International Media Operations and senior management team.
Qualifications/Requirements
KEY RESPONSIBILITIES
PA duties
•Effective diary management including coordinating internal and external meetings, conference calls, room bookings and video conference with multi countries and any other necessary communication. These tasks may be required for the senior management team as and when need.
•Ensure all logistics and documentation are arranged when visitors come in to meet the VP International Media Operations, as well as greeting and supporting visitors on the day.
•Act as the first point of contact on all external matters including call screening, processing mail/post, meeting requests etc.
•Arrange all travel arrangements and bookings including detailed itineraries and document preparation
•Prepare and process expense reports ensuring timely repayment to corporate credit cards for the VP International Media Operations and potentially others in the senior management team as and when required.
•Provide administrative support to the management team, for example preparing printed materials for meetings.
•Receive and prepare documentation for approval by International Media Operations management team, ensuring a constant and smooth communication flow including raising and tracking of purchase orders.
•Manage and update contact databases, filing, Management fee tracker and any other systems or records as requested.
•Build strong relationships with key contacts across the International business structure both in London and in all key territories.
•Build strong relationships with the management team and wider Media Ops team to establish self as a key point of contact.
•At all times represent a positive and engaging representation of oneself and the International Media Operations team.
•Other adhoc secretarial support e.g. faxes, photocopying etc. as required from time to time
The responsibilities associated with this position are not limited to the above description and may be modified at any time by the Company.
Skills:
•Solid, demonstrated experience as a Personal Assistant, good clerical and administrative skills;
•Strong sense of initiative and a proactive style to work on projects;
•Skilled in Microsoft office, Outlook, Word, Excel, and PowerPoint;
•Excellent organisational skills, demonstrated experience in arranging large business events;
•Able to manage pressure and conflicting demands as well as priorities tasks from several managers;
•Can do attitude, positive, honest, reliable, approachable, available, friendly and energising;
•Able to plan work on his/her own initiative and to tight deadlines;
•Proactive attitude, be on top of the work and team priorities to anticipate needs;
•Good project management and organisation skills;
•Excellent verbal and written communication;
•Strong numerical skills;
•Attention to detail and the ability to deal with sensitive and confidential information in a discreet manner
•Self starter.
