Provide administrative support to two busy publicists while assisting the Publicity Department with various departmental needs.
Responsibilities:
• Compile and circulate daily and artists press clippings to company.
• Compile press reports for press releases sent out and scan the web for any relevant artist news.
• Field incoming press requests.
• Research and maintain an organized press clip archive for all artists.
• Alert company of all upcoming artist TV performances, record all artist TV performances and distribute to company and artist’s managers.
• Process incoming invoices, as well as maintaining active accounts.
• Maintain publicity tools (i.e. press kits, videos, photos, cds, etc.).
• Coordinate & cover press events and appearances as requested (i.e. photo shoots, release parties, television appearances, guests lists, work door at events, etc).
• Maintenance of publicity database (ACT).
• Order supplies; ensure that the publicity department is stocked with CDs.
• Answer phones, take accurate messages; and back-up support for head of departments phone lines.
• Update and maintain the press portion of the RCA Records website.
• Coordinate all mailings, physical and digital (via intercompany program promo tool).
• Track photos, photographer credits and ensure all photos are properly credited.
• Hire and supervise interns.
• Book travel for publicists.
• Create and submit expenses for publicists.
• Distribute celebrity bulletin and datebook.
Qualifications:
• Minimum 1 year administrative assistant experience, preferably in music.
• College degree preferred.
• Strong proficiency in Microsoft Word, Excel, Outlook, Adobe Photoshop, ACT database entry, Google News Search.
• Strong writing skills.
