Responsibilities
Essential Functions:
The Manager is responsible to oversee daily operations within the UC Technology offices in all areas of workplace services including reception, security, safety and more.
Oversee office maintenance including ongoing cleanliness and neatness of the office, kitchen, safety issues and repairs ensuring the overall maintenance and upkeep of the facilities are well managed
Address ongoing equipment and office flow needs
Oversight management of office supplies including inventory control, cost control, ordering, stocking etc. and controlling special orders
Oversee office security needs, working with building management as necessary regarding security issues, concerns and procedures
Assist with Safety Team & Floor Warden responsibilities as needed and coordinates procedure review meetings with Technology Floor Wardens and Safety.
Assist in processing of physical Data Center security access, requests, reporting and audit reviews
Assist as back-up to process time & attendance and ensure staff coverage for Reception, Administration & Facilities areas
Maintains accurate and consistent electronic files and documentation and store on a department shared drive.
Recommends and implements improvements to e-files documentation and storage tools and processes
Generate reports and space audits, updates databases/floor plans/spreadsheets and publishes on shared drive
Provide weekly department activity/status updates and requested reports/metrics to Director
Identify client critical environments, change control processes and formulate and implement successful plan for relocations
Assist as back-up in conducting/participating in Workplace Technology meetings on IT Facilities projects. Serve as liaison between the client and all other project resources.
Provide local presence for IT Facilities & Logistics team in support of Technology clients assistance with logistics
Identify and assist in development and implementation of innovations, best practices, and standard operating procedures to elevate team performance in a proactive and timely manner
Other duties/projects as assigned by department Director
Qualifications/Requirements
High school diploma is required; BA/BS degree preferred
Preferred 3 years of related experience as a Manager or comparable level, or an equivalent combination of education/experience
Strong computer skills and expert knowledge of all Microsoft Office programs especially Excel reporting, PowerPoint, Access/SharePoint and Visio. Working knowledge of CAD desirable
Occasional lifting, up to 50 pounds
Desired Characteristics
Ability to read furniture plans, and space planning concepts preferred
Experience with Ergonomics and OSHA standards preferred
Excellent verbal and written communication skills with a diverse group of associates, including a professional phone manner and in-person presence
Advanced people and leadership skills
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response
Demonstrated ability to handle multiple requests and work in a fast paced office environment with a proven record of effecting strategic change and initiatives where prudent
Demonstrates effective and professional service orientation and builds appropriate rapport with internal and external contacts, while maintaining accountability
Attention to detail and demonstrated initiative; self-starter who is organized with strong decision-making capability and emotional maturity
Must be available and willing to work extended hours per day including occasional weekends and holidays when needed
