We currently have an opening for a Director, Enterprise Program Management Office within Deluxe’s Enterprise IT organization. The position will be located at our Burbank, CA offices.
SUMMARY:
The Director, Enterprise PPMO will be responsible for providing the required leadership, coordination, management and reporting to ensure programs critical to our business success are completed on time and within budget, whilst also delivering to the values and goals defined by Project Charters. Through the development of processes, policies, governance and interlocks with the Business Unit Project Offices, the Enterprise PMO will act as the conduit for effective communication and collaboration on complex and transversal projects, driving the required levels of focus, prioritizations and resource allocation from all stakeholders to successfully deliver these key projects and programs.
KEY RESPONSIBILITIES:
PMO Governance
• Establish the role of the EIT PMO function and associated standards and performance.
• Define and implement the project management governance and methodologies to ensure effective working between the Enterprise IT and Business Unit PMO teams.
• Establish standards for project and program management capabilities, skills and tools that adhere to best in class industry standards and disciplines.
• Define, implement and manage the Project Gate approval / prioritization process, to ensure executive stakeholders have the required information to assess the value, impact and strategic alignment of new program and project requests.
• Provide visibility of program and project statuses and risks through the implementation of automated dashboards that report at executive level with drill down to an individual project level.
• Monitor and manage compliance to processes, policies and standards.
PMO Performance
• Work with resource managers to establish the project timeframes and deliverables and define the required levels of skills and resources to meet project demand.
• Undertake gap analysis of resource requests versus resource forecasts and budgets to proactively establish areas of risk for escalation and resolution.
• Ensure committed resources are allocated to projects.
• Review resource productivity regularly to optimize productivity and escalate need for additional resources / funding as appropriate.
• Manage the risk, issue and change management process ensuring corrective actions are taken as required.
• Implement and manage the Project Close process to assess performance to project chart (i.e. conformance to budget, performance to project timeframes, deliverables achieved, transition to business operations, lessons learned, etc.)
• Drive a culture of continuous service improvement through
◦ The identification of the root causes of issues highlighted during the project lifecycle
◦ The ongoing collaboration with Business Owners to implement effective and repeatable processes, scalable tools and appropriate skills to resolve highlighted issues
• Ensure that all project deliverables with applicable standards and regulations.
Communications & Reporting
• Ensure a culture of strong and open project communications management for people, ideas and information throughout the PMO project lifecycle.
• Create a matrix management environment that allows for influence without direct authority.
• Establish meaningful and productive working relationships with all Business Unit Project Offices and management teams, individual project teams, Finance and HR functions.
• Define objectives, criteria, standards and performance levels in collaboration with all core stakeholders.
• Define and implement automated dashboards to allow for measurement and reporting of program and project statuses and KPIs at both the summary executive level as well as the detailed project level.
• Communicate Enterprise program and project status reporting and KPIs to all stakeholders and PMO resources in a timely and effective manner.
PMO Resource Management
• Establish the EIT PMO organization, recruiting and managing resources in line with business requirements.
• Define the budget requirements and manage to that budget.
• Ensure effective load balancing of project and programs across the available resources.
• Set performance targets for the team and undertake regular reviews of individual performance.
• Provide real time, ongoing motivation, coaching, guidance, feedback and mentoring support to the team.
• Support the PMO team with the removal of obstacles that may impact successful project delivery.
• Manage relationships with third party vendors.
EXPERIENCE & KNOWLEDGE:
• 3+ years managing a global project office
• 5+ years of experience managing projects.
• Extensive experience managing projects using both agile and waterfall methodologies.
• Excellent oral and written communications kills.
• Motivated self-starter able to manage multiple tasks and challenges.
• Proficiency in process diagramming and project management tools like MSWord, MS Project, Excel, PowerPoint.
• 5+ years with budgeting, forecasting, capacity planning and staff allocation.
• Demonstrated ability to communicate information, project status, issues, etc. clearly and concisely to various levels of staff and leadership.
• PMP or equivalent project management experience or previous experience working with a PMO.
