OVERVIEW
Position is responsible for assisting two Executives. With clear direction, but acting with considerable independence, performs advanced, diversified and confidential administrative and secretarial support. This position requires the individual to have extensive experience and knowledge in scheduling, submitting travel and entertainment expenses and maintaining a calendar for multiple people, ability in handling correspondence, making travel plans, and professional phone manner.
RESPONSIBILITIES
• Answer and screen telephone calls and visitors for the Executives.
• Tactfully handle inquiries and/or refers to appropriate party.
• Review and answer mail and inquiries and determines if Executive action is required.
• Refer routine matters to appropriate person for action and follows up to ensure completion.
• Schedule and maintain calendars of appointments, meetings and travel itineraries, and coordinates related arrangements for the Executives.
• Anticipate and prepare meeting materials, charts and reports needed.
• Coordinate, attend and take notes at meetings run by the Executives, when relevant.
• Independently gather, compile and analyze information from multiple sources; prepare a variety of complex reports, manuals or agendas.
• Compose routine and non-routine correspondence, memoranda, reports, etc, which are generally confidential in nature.
• Use various PC software packages such as PowerPoint, spreadsheets, word processing, and graphics to produce high quality reports, presentations, or other documents.
• Act as liaison between the Executives and their direct reports, as well as internal and external contacts.
• Coordinate activities, conduct research and ensure that requests are carried out.
• Handle a wide variety of situations and tasks involving the clerical and administrative functions of the office, which often cannot be brought to the attention of the Executives.
• Coordinate all paperwork necessary for the Executives to approve. This includes, but not limited to, eTime attendance sheets, travel and expense vouchers, and authorization payment forms (APF).
• Follow up with other departments to ensure that requests are carried out and activities are coordinated.
• Assist in special projects that reside in diverse areas of IFC as requested by the Executives.
QUALIFICATIONS
• Associate Degree in business or related field.
• Minimum of 2-3 years experience in administrative role.
• Excellent mathematical and computer skills are a must, particularly spreadsheet software.
• Knowledge of PowerPoint is a plus.
• The ability to work independently, as well as function as part of a team, is required.
• Position must have the ability to work under pressure with little supervision in a fast-paced environment, be able to juggle multiple tasks simultaneously and be willing to work overtime as required.
• A professional manner for interaction with internal/external high-level positions is necessary.
• Excellent communication, organizational and written skills are required.
• Must be organized, extremely detail oriented and possess strong follow-up skills.
• Computer knowledge required: Windows Operating Environment, Excel, Word and PowerPoint.
