Position Summary:
This is a key role to help support the production management department and commentary departments on a daily basis. The teams work across two live channels, Eurosport 1 and Eurosport 2 in the UK. The role requires the successful candidate to help assist the teams in the booking and scheduling all the necessary crew and facilities to ensure successful delivery of all programming both live and delayed across the channels. The candidate must be prepared to work at the weekends where necessary.
Responsibilities:
Production and Commentary Duties (70%):
Under the direction of the Production Management and Commentary teams the responsibilities include:
• Book crew including Producers, AP’s, Engineers etc.
• Update the production rota on a daily basis when bookings are made.
• Produce and update relevant documents to inform freelancers and other departments of the work they are required to do.
• Raise purchase orders for all bookings.
• Plan and book travel and accommodation for all crew including hotels, flights, trains, taxis, hire cars etc.
• Ensure all crew/freelance payments are processed by month end and ensuring all PO’s are raised and payments are approved by the finance department. This will involve working closely with the Finance Analyst.
• Check Commentator availability by email and phone and book as agreed with the Commentary Coordinator.
• Make sure that the planning is correct for the current day and email changes as needed.
• Provide organisational support to the Commentary Co-ordinator.
• Prepare grids for any Schedule changes and reconfirm changes to on air times with Commentators by mobile, text and email.
• Follow up and resolve any problems the Commentators experience.
General Office (30%):
• Answer incoming calls and redirect as appropriate.
• Manage incoming and outgoing post for the office.
• Manage meeting room bookings and arrange catering when requested.
• Book couriers.
• Meet and greet all guests and advise relevant personnel of their arrival.
• Act as liaison point for new staff – showing them around the building, advise basic IT and HR procedures, ensure that a desk is available and explain operating use of equipment and systems.
• Order and maintain stock levels of stationery, office sundries, photocopying equipment, tea/coffee supplies and water.
• Coordinate recycling collections.
• Ensure that Health & Safety regulations are adhered to.
Requirements:
• Produce work of high quality that is checked prior to it leaving the department.
• Exhibit excellent organisational and communication skills and demonstrate empathy in dealings with clients and staff.
