Position Summary:
Discovery Eurosport has secured the rights from the International Olympic Committee to manage the distribution within Europe of the XXIII Olympic Winter Games in PyeongChang from 9-25 February 2018. Discovery Eurosport is seeking to appoint an experienced Bookings Manager who will assist with co-ordinating the broadcast requirements of Discovery Eurosport. The role will work to the Director of Broadcast Operations.
Responsibilities:
1. Manage day-to-day relationships with OBS/POCOG and a range of overseas clients.
2. The Bookings Department operation is at the heart of maintaining contact with the Discovery Eurosport Markets and oversees the booking via OBS/POCOG and delivery of all International Broadcast Centre and Venue Facilities and Services before and during the period of the Games.
3. Establish a Timeline which identifies all internal and international deadlines.
4. Liaise within Discovery Eurosport to establish onsite production, engineering and operations requirements. Guide Discovery Eurosport through the submissions process with OBS/POCOG and ensure that all bookings are placed within the prescribed deadlines.
5. Ensure that all bookings placed by Discovery Eurosport are thoroughly reviewed and processed in conjunction with all relevant Discovery Eurosport Departments, such as Engineering, Operations, Production, Broadcast Telecoms and Finance.
6. Work in close co-operation with Production, Operations and Engineering throughout the submission process to ensure all departments are apprised of the Markets’ bookings.
7. Work closely with Production and Engineering to ensure that the requirements of all Markets are met for internal on-site services and facilities.
8. Create, populate and manage a bookings database/website to capture bookings from the Markets for all services as detailed in the OBS/POCOG Directory of Services (Rate Card) Part A and Part B.
9. Produce database reports for distribution to internal departments, including the generation of reports for Finance throughout the bookings process from initial submission to the conclusion of the Games.
10. On behalf of the Markets, to place on the OBS Bookings website all bookings for Directory of Services items supplied by OBS/POCOG
11. Ensure final bookings are approved by the relevant Markets/Finance before the final sign-off is given to OBS.
12. Liaise with Finance to ensure that all services are invoiced to Markets.
13. Work closely with Finance to ensure that all Rate Card (Directory of Services) bookings are captured in the Olympic budget.
14. Ensure the distribution internally to all relevant departments of the Directory of Services including all updates which detail rates for Price on Application services and non-rate card services.
15. Set up the Bookings Office (part of the Broadcast Operations Office) on site in PyeongChang and ensure that all pre-Games Time ordered services are delivered as booked and on schedule.
16. Liaise with Markets and place bookings for all “Games Time and Occasional Use Services”.
17. Produce daily reports for all departments including Transmission/MCR and Finance detailing all Games Time bookings arranged through OBS/POCOG.
18. Collect from OBS and distribute Supplementary Access Devices for Dedicated and Occasional Use Games Time Services.
19. If issues arise in respect of scheduling, lack of availability, cancellations etc., liaise with the relevant departments e.g. Production, Engineering, Finance, Markets.
20. In the event of it becoming clear that a Games Time facility booking (Hub or OBS provided) has been double-booked, consult Production/Editorial to seek a resolution.
21. To be aware of health & safety requirements which may affect Markets operating in PyeongChang and to communicate these as appropriate.
22. To understand the implications of any business continuity arrangements which Discovery Eurosport put in place.
23. Whilst the above is a comprehensive assessment of the role, the duties of the Bookings Manager, Markets may from time to time be amended as dictated by business.
Requirements:
• Sound knowledge of IT programmes including Excel, Word, Powerpoint, Smartsheets, Keynote. The role includes the creation and maintenance of a database to log bookings and generate production and financial reports.
• A strong organisational approach with attention to detail essential. Experience of complex multisport operations.
• The role of bookings co-ordination requires adherence to strict internal and international deadlines.
• Up-to-date knowledge of the European broadcasting environment.
• High standard of understanding of all aspects of the technical processes required to produce an international broadcast operation for multinational companies.
• Strong communication and problem-solving skills.
• Ability and confidence to act on own initiative.
• Fluency in English essential with a working-knowledge of other languages an advantage as the holder will be operating alongside international broadcasters.
