We’re looking for a talented Event Programming Associate to join the team responsible for programming content for employee focused events. The successful candidate will be providing administrative and project management support to the Programming Manager with experience in live events.
The right candidate preferably has previous experience within the live event sector and in complex outdoor multi-day arts/performance/activity/music events. An ability to provide top of the line administrative support, and be knowledgeable in the various and complex aspects of large-scale events, and ensure that the final product remains true to the values and ethos of WeWork.

Responsibilities
• Work on a interdisciplinary team that develops, produces and manages internal programming for WeWork’s large-scale events;
• Manage the workflow and communication of the content.
• Responsible for keeping all plans and details in an organized matter to communicate outside of the planning committee.
• Update decks, schedules and spreadsheets as necessary.
• Responsible for overall coordination and communication to all speakers and workshop hosts.
• Ensures that all details for the content schedule are communicated which include presentation asset coordination, coordinate rehearsal schedules and preparations (leading up to event and on-site), any/all changes in plans to any/all parties necessary.
• Coordinate pre-event rehearsal schedules and all related logistics including but not limited to supplier bookings, venue sourcing, travel coordination.
• Assist with overseeing all rehearsal sessions to ensure quality control and give feedback.
• Project manage the flow of digital assets between speakers and production.
• Update all relevant event run of shows and schedules for planning teams, speakers and production.
• Attend company, team and production meetings and events as required.
• Act as support and a problem solver for the cross-functional programming team.
• Action and support all other reasonable requests as stipulated by the Programming Manager and other senior event staff, and event needs.
• Coordinate deliverables and/or assets and overseeing management of all deliverables on internal server (Google Drive);
Qualifications
• Bachelor’s Degree or equivalent;
• Minimum 1-2 years experience;
• Highly detail oriented, thorough, proactive, and resourceful;
• Proficient in Microsoft Suite and G Suite online, with advanced knowledge in Excel and PowerPoint ;
• Strong project management skills and demonstrated experience in using cloud based project management tools to manage / track multiple projects at once;
• Excellent communication and presentation skills;
• Ability to build sophisticated timelines, anticipate next steps, problem solve, exercise analytical thinking and be aware of prioritization;
• Ability to take direction, process, and implement feedback;
• Strong interpersonal skills,a positive attitude and enthusiasm in working with cross-functional teams
• Thrives in fast paced environments and has the ability to work in high pressure situations;
• Ability to work on a global schedule, requiring late nights, weekends, and travel as needed;
• Proven leadership and accountability; demonstrates high-level of integrity, dependability and empathy;
• Passion and understanding of WeWork’s mission and values;
• Team player - this is a growing team and we’re looking for a willingness to jump in as needed on projects outside your scope; support event setup/strike
